Issue with individuals accessing an app that is open to the entire organisation

I have an app published in Service that is open to the entire organisation. However, several people (who have a Pro Licence) have reported that they get an error message when they try to access it saying that they do not have permissions to the underlying dataset. When I check the dataset (which is stored in a separate workspace) it says that the entire organisation has permissions via the App.

To get round this I give the user in question build access to the dataset, but then immediately remove that access again.  When they then click on the App link it allows them to view it.

This seems like a glitch, but if anyone knows a better way to navigate the issue I'd welcome it.

Thanks

Ben

Hi @BenArnold

Generally speaking, as long as you give your customers access to the App, in case they have a Pro or PPU license, they can access the App. Have you compared the difference between these users and other users who can access the App normally?

Thank you for getting back to me.  Apologies for the delay in responding to you.

Only users with Pro licences are able to access apps in our organisation, therefore I am only aware of this issue in terms of how it affects those users.  We don't have any other sort of licence.

I have continued to use the method of adding and then removing access to the dataset for people affected, which seems to change something that means the error disappears.  I have been wondering today whether it is only affecting people who have got their pro licences in the time since I set the app up and perhaps the "entire organisation" permissions only covered people with pro licences at the time and it needs refreshing to incorporate new users. Just a theory.

Thanks

Hi @BenArnold

"whether it is only affecting people who have got their pro licences " , the conclusion is yes . Unless your license is Premium, then users without a license will be able to access your app .

Hello,

Whilst I appreciate your help, your latest response is not entirely relevant to the issue I am having.

In my organisation we only have pro licences. In order to view any app published by someone in the organisation a user must have a pro licence. My problem is that people with pro licences, who have been given permissions to view an app by virtue of it being open to the "entire organisation", are not able to view it as it says they do not have access to the underlying data. When I manage permissions to the underlying dataset (which it says is open to the entire organisation through the app), I have to grant access to the specific user and then remove access again. After doing this the user can then access the app, which makes no sense.

This is clearly an error and one that I would like assistance with finding a solution to. It isn't sustainable for me to individually add and remove access to several hundred members of the organisation.
