Admin changing user subscription breaks subscription

This *continues* to be an issue on our tenant. What happens:

 

  1. A user-generated subscription with an end date generates a "your subscription is about to end" message.
  2. I, as a tenant admin, modify the subscription to remove (or alter) the end date.
  3. On next run, the subscription sends a user a "EmailSubscriptionCannotSubscribeOthersError" email.

This has been going on for months and months.

MSFT Support confirmed this issue this morning and is escalating my ticket with the product team. To recap:

 

A user with app -- but NOT workspace -- access to a paginated report is able to create a subscription to that report. When a workspace admin edits that user's subscription, the user then receives an error email and the subscription is deactivated.

Based on the details you shared, this looks like an issue with admin changes to user-created subscriptions in Power BI.

You can try the following options:

  1. Try not to modify user-created subscriptions from the admin side
  2. Ask the original user to update the subscription (for example, changing or removing the end date)
  3. If an admin needs to make changes, it’s better to delete the existing subscription and recreate it rather than editing it

This helps keep the subscription in a clean state and avoids the permission issue that leads to the error.

Should admins *NOT* be able to modify user subscriptions? I mean, is this a rule?

Thanks for the follow-up question and also thank you for pointing that out. 


Admins should normally be able to modify user subscriptions, and this is not a documented rule or restriction in Power BI. What I meant was that, based on the behaviour you described, the issue seems to occur after the subscription is modified from the admin side, so the suggestion was intended only as a temporary workaround to help avoid triggering the error. Since the subscription works before the admin edit and fails afterward with the EmailSubscriptionCannotSubscribeOthersError message, this appears to be an unexpected behaviour rather than intended functionality.
