Editing Email alerts format

Greetings all,

 

I want to know if am able to edit the format of the built in email alerting system in power bi, i noticed it doesnt have like line breaks or anything.

 

I tried with power automate, but i am having trouble finding the alert id in this case.

 

Any suggestions?

Hi @Ghanim1991,

In Power BI, the built-in data alerts (the ones you create on dashboard tiles) have very limited customization.

1. Editing the built-in email alert format

Unfortunately, you cannot edit the format of the native Power BI alert emails.

  • The email layout is fixed

  • No support for:

    • Line breaks

    • Custom HTML

    • Styling

    • Additional text beyond the default message

This is by design, and Microsoft currently doesn’t expose any settings to change the alert email formatting.

2. Using Power Automate instead (recommended approach)

If you need formatted emails, Power Automate is the right solution, but it works a bit differently.

How it works:

  • Use the trigger:
    “When a data driven alert is triggered”

  • This trigger automatically listens to all Power BI alerts you have access to

  • The alert details (alert name, value, threshold, etc.) are passed into the flow automatically

Once triggered, you can:

  • Build a custom email using Send an email (V2)

  • Use:

    • Line breaks

    • HTML formatting

    • Dynamic values from the alert

You cannot edit or customize the format (layout, line breaks, HTML, styling) of built-in Power BI email alerts. The alert email format is fixed by Microsoft and cannot be changed, and the alert ID is not exposed for reuse in Power Automate.If you need formatted emails (line breaks, tables, custom text), don’t use built-in alerts. Instead, recreate the logic using Power Automate (query the dataset / measure condition) and send a custom email from the flow.
