Disable embed report in Export to PowerPoint

Hi,

I would like the option 'Embed report with the data filters you selected' to not show when users click on Export > PowerPoint.

sba_ur_0-1757013520934.png

I fall into the following 2 issues:

  • All users, whether they be workspace viewers/contributors/members or admins, can see the Export to PowerPoint. Is there a way to restrict the exports so viewers can't export to PowerPoint?
  • The main issue is the live report embed inside the PowerPoint export file. My concern is when the PowerPoint file is shared with other users (who share it with other users) who may not have access to the data, but can now see the live report. I'd like to limit the live report.

Thanks!

UPDATE: I found a setting to limit the live embed in the screenshot above. The setting is Enable Power BI add-in for PowerPoint, which can be disabled.

1.To stop viewers from exporting to PowerPoint, disable the export permission for them in the Power BI Admin Portal under tenant settings.
2. You can’t remove the “Embed report with filters” checkbox from the export dialog, but:
If recipients don’t have access to the report, they won’t see live data.
Educate users to uncheck that box before exporting to avoid sharing live reports.
3.For tighter control, use row-level security and restrict dataset permissions.

Thank you, I am already an admin. I was looking for a way to disable the live report embeds inside PowerPoint, when exporting. Is there a way to do that?

Thanks!

Hello @sba_ur ,

If you only want to allow image export and not ‘Embed live data’, this is not possible at the moment.

The workaround is to disable PowerPoint export for certain users in the admin portal (but they will no longer be able to export ‘As image’).

The other solution is to leave it as it is. In any case, anyone who does not have direct access to the semantic model (e.g. distribution via PowerBI App) will not be able to do anything more than what they are authorised to do in the App.

Please feel free to give me a kudo and validate my answer as the solution if it suits you.

Hello @sba_ur ,

You can find all these settings in the PowerBI/Fabric administration screen.

https://learn.microsoft.com/en-us/fabric/admin/admin-center

You must be an admin of the Fabric tenant to access it.

For exemple for PowerPoint Export : https://learn.microsoft.com/en-us/fabric/admin/service-admin-portal-export-sharing#export-reports-as...

It is possible to limit the export to only certain AD groups (i.e. only include those that are not Viewers).

For the second question, if one user share thé PowerPoint with one another user (If he does not have access to the dataset), he will not be able to view the data via the PowerPoint live connection.

Please feel free to give me a kudo and validate my answer as the solution if it suits you.

Vivien
