Issue exporting report data to excel file

Hi,

Hope all are doing good and safe!!

I am facing an issue while trying to export data from report to excel,the total row count in my report shows 1,70,000..so i tried to filter only 10 rows out of it and tried exporting teh filtered data(10 rows)..but still im not able to export data adn it failed.Somehow it still considers the total row count ,but not the filtered row count.Could soomeone help me on resolving the issue.Not sure whetehr its a bug in PBI servcie..

Hi @maran ,

Please check these two points first:

1. Whether you have set the export data type as 'None' of the report.

2. If you are an admin of power bi service, please check whether you have enabled export to excel and export data in admin portal.

If you are not the admin, please contact you tenant administrator to check it.

 

In addition, there are some limitations about exporting data that you can refer:

  • To export the data from a visual, you need to have Build permission for the underlying dataset.
  • The maximum number of rows that Power BI Desktop and Power BI service can export from an import mode report to a .csv file is 30,000.
  • The maximum number of rows that the applications can export from an import mode report to an .xlsx file is 150,000.
  • Export using Underlying data won't work if:

    • the version is older than 2016.

    • the tables in the model don't have a unique key.

    • an administrator or report designer has disabled this feature.

  • When using DirectQuery, the maximum amount of data that Power BI can export is 16-MB uncompressed data. An unintended result may be that you export less than the maximum number of rows of 150,000. This is likely if:

    • There are too many columns. Try reducing the number of columns and exporting again.

    • There's data that is difficult to compress.

    • Other factors are at play that increase file size and decrease the number of rows Power BI can export.

  • If the visualization uses data from more than one data table, and no relationship exists for those tables in the data model, Power BI only exports data for the first table.

Thnaks for your reply..I tried limiting the columns and my question is ,i have applied the filter in report and trign to export only limited rows(even 10 rows),but still it shows export error.

Analyse in excel column is worikaround ,but the end users are not ahppy with that solution...they need to do it in pwoer BI report.

Tried exporting and got the error message..

Also tried with filtering records...

Hi @maran ,

Unfortunately, I've been testing for a long time, but I can't reproduce your problem.

Did this problem only happen on this report or all of reports? You can try to recreate a new report to try to export to excel to check it again. If it still has the same problem, I would suggest you to create a support ticket here to deal with the problem.

I am tryign to recreate the report ..My issue here is somewhere while exporting it still takes the total row count of the report in to account but not the filtered data which Im trying to export...

Hi @maran ,

I mean you can create a test report using other datasets to try to export to execl to check it. In addition, how did you filter the data in power bi service?

Hi @maran ,

Still could not reproduce it, I can export data to excel normally when using slicers to filter data. Looking forward to your test report result.

Export to Excel has a 1.5 lakh row limit. Don't use it, use "Analyze in Excel" instead which gives you the whole data plus automatic-ish refresh.
