External Sharing

Hi there

 

I am working for a small organisation that wishes to share reports with external users (UK).  I understand that they will need their own Pro or PPU licence.  However, the security policy for this external organisation forbids them from taking out external subscriptions.  This is a licensing policy, nothing to do with cost.

 

What are their options?  Is a Per Capacity licence their only option (the cost would probably be prohibitive in such a small business).

You could also consider using a plug'n'play white label solution like the Reporting Hub:  https://thereportinghub.com.  It allows you share to external users by taking advantage of Power BI Embedded without any development complexity.  You can create your own portal for sharing and delivering Power BI content.  Deploys in minutes and no code required.

  1. You can invite guest users and share your reports and dashboards with them.

The guest user must have the proper licensing in place to view the content that you shared. There are a few ways to make sure the user has a proper license: use Power BI Premium, assign a Power BI Pro license, get a Premium Per User (PPU) license, or use the guest's Power BI Pro license.

  1. If you don't want to buy Premium and Pro licenses, you can try publishing your report or dashboard to the web. However, when you use Publish to web, anyone on the Internet can view your published report or visual. This method is not safe.
