Missing columns (API connection from Kobo)

Hie, i am developing reports in power bi using data that i connect from Kobo using API. Now i have realised that one of my form's columns are missing in power bi . I have tried refreshing and reconnecting after submitting a full record but am still getting just the few columns that were showing in the first schema. i have run out of options. Help

Hello @mwsp_1,
Thank you for posting your query in the Microsoft Fabric Community Forum.

The synchronized XLSX export includes all columns, this indicates there is no issue with the form itself. The limitation you’re encountering is specific to how the JSON API is surfaced into Power BI from KoboToolbox.

In this scenario, continuing with the synchronized export is a supported and stable approach, especially when form structures evolve over time. The JSON API can lag or expose a fixed schema depending on how the form version is handled, which Power BI cannot always reconcile automatically.

Thanks, @Mauro89 for sharing valuable insights.

Best regards,
Ganesh Singamshetty.

Hi @mwsp_1,

it would be great if you might share your Power Query code to check if there is any issue there.

Beside that check these points:

Check the API response

  1. In Power Query Advanced Editor, look at your API call
  2. Verify the API is returning all fields - test the URL directly in a browser or Postman
  3. Kobo may have form version issues - ensure you're querying the latest form version

Clear the schema cache

  1. Go to the Source step in Power Query
  2. Edit the Web.Contents() or API call
  3. Add or modify a query parameter to force a fresh connection
  4. Re-apply all transformation steps

Best regards!

PS: If you find this post helpful consider leaving kudos or mark it as solution

Checked 1, 2 and 3 and the source and it was all okay. I tried using a synchronized export (xlsx) instead of the json i was using and i have all the columns. Maybe you can advise further

@mwsp_1  Is it possible that you share your Power Query code?
