Hi, i was asked today about a dashboard that no longer works. the user says he starts in teams, gets to sharepoint and clicks some kind of view from a list and clicks integrate from there. I found the dashboard in the cloud in a ws whose name is made up of mostly a guid and a tag that says its a sharepoint folder. i believe he is used to seeing a list of pbi dashboards etc under "visualize the library" (see image) after he taps integrate.
i gave myself access to the ws but it doesnt appear i can give my user access (the usual ellipsis next to the ws name and pin icon) for managing permissiins doesnt show) so he can use that capability temporarily to look at the dashboard. and notice part of the blog i how below from Lukasz Pawlowski below.
where does someone start on something like this? i have never seen this kind of thing before , ie sharepoint to pbi plumbing. i did request electronically access to that sharepoint folder. and should get it soon. it sounds like this all starts with a list of urls that are added to sharepoint.

If im being honest, i think rebuild is probably gonna be easier than to navigate through the blackbox of mysteries. 😵

i went a level lower and picked the master list i think this report is based on. from there, picking intergtae , pbi and then write report actually does show what looks like a more relevant model. but i still dont see a way to add logic like the 20 or so appplied steps i see in the pbix. i dont even see a way to get to the screens where i can add columns, lookups, applied steps etc like you get with a normal pbi report's semantic model. interestingly, between last week and today, the ws disappeared on me in the cloud. so i had to request/get access again . and for the user who had the issue in the first place, i asked him too to go down one level and actually pick the master list and hit integreate etc again and he now sees what he wanted. i think the big question right now is how did the original author get this report created in the 1st place? there dont seem enough familiar pbi icons showing in case i ever had to do this. most interesting, the guy who created these reports left the company.
If im being honest, i think rebuild is probably gonna be easier than to navigate through the blackbox of mysteries. 😵
i got ownership rights on the sharepoint site. not surprised i still cant refresh the semantic model in the cloud nor on the desktop (trying this now but running forever) since tutu's theory that the list was broken is probably correct. but somebody had to author this thing at one time and yet when i hit visualize (from integrate) and "create a report" i dont see anything useful in the tables (wanted to se a master list with sub tabs, i just see a shared maybe folder of what might be 2 tables, one with counts that wants to sum ids, the other maybe of modified something with a date hierarchy) pbi sets up/picks for me automatically. when i hit search for key words in the master list im looking for, i get nothing. how did the original author see the master/sub lists i need and what is that navigate m code command (i see on desktop in tyhe pbix i downloaded) about in the applied steps for sharepoint, is that a folder's guid pbi needs to be aware of to know what lists to use ? that guid doesnt seem to match the ws name in the cloud whose name also has a guid.
i was able to download the report file from the cloud to my desktop with data. but get an error connecting with windows acct to sharepoint. guessing maybe thats because im only a member there , not owner. will try to get owner monday. not sure which folder to pick when it asks where to apply credentials. any thoughts? im guessing even if i publish it to the cloud i wont have permissions to refresh the semantic model at least not until our security guys give me some higher permissions on the sharepoint site. can i leverage what i downloaded and somehow get it into the integrate list? from what ive seen trying to write a report after going thru integrtion, you cant even pick a data source, it picks one for you. i am noticing on the desktop in the applied steps of the model, it starts with a site then follows that with a navigation applied step to a source id of a guid with [Items] after closing parens and braces.
If you have the pbix, and you have read access for the list, you should be able to connect to it from desktop. If not, try getting elevated access to the list. You are so close. Once you are able to connect (hopefully), then you can publish to a proper workspace, and embed in teams/sharepoint for them to view.
I dont think we can add it back to the "integrate" list.
hi tutu. i gained access using my admin status in the cloud. and access to the sp site by being added to a teams list. i cant afford to rebuild this report as its very complicated. not that its going to help with "integrate" but i followed the instructions you see below and was able to add 1 page (embedded) of the report to the site's home page but thats not what i wanted. is the pbix anywhere? is there any way to add this page to the integrate->pbi dropdown under visualize te library? without rebuilding the report from scratch? also i get a credential error when in th ecloud trying to refresh the semantic model. this is crazy.
this is the article tutu is referring to. not sure i see a clear path but will get access to that sharepoint location and see what i can do.
So that is a feature introduced back in 2021. Have a look at this documentation especially the Consideration and Limitation section.
https://learn.microsoft.com/en-us/power-bi/create-reports/service-quick-create-sharepoint-list#consi...
A reason why it doesnt work anymore, is if the list structure changes. If he cant see it anymore, might be best to rebuild it either using the same function or from scratch on power bi desktop.
thx tutu, if it still works in the cloud, im guessing your recommendation to rebuild in the desktop isnt valid. i dont know what a list structure is or what function you are referring to. but i will read whats at that link.
"...clicks some kind of view from a list and clicks integrate from there."
So the report is probably automatically generated from a Sharepoint List using the integrate functions. Sharepoint list is basically a table. If the table structure changes eg column data type changes, columns added/removed etc. It will probably affect report, example that i have experienced is the report stop pulling new data from the list, even though the report is "working" or "interacting" in the cloud. But of course, you could be having a totally different issue here eg User lost power bi pro license.
I am not a fan of using integrate to create a report, as you dont have much control on the semantic model, access management (as you are experiencing right now) and workspace settings. The reason i suggested rebuilding it using the conventional way, is so that you have better control on the report and its gonna be easier for you to troubleshoot this type of challenges. This may not be the solution you looking for right now, but could be a solution that would be more sustainable.
How were you able to gain access to the hidden workspace?
