Workspace App Subscription

Hello all,

I've tried searching but haven't found the answer to what I'm sure is a common question. I am the owner of a workspace but have never utilized the app function for the recipients of my reports. Instead of setting up a daily emailed subscription to individual reports, I'd rather set up a daily emailed subscription to the app, where users can choose which reports to view.

I cannot, however, find any option to set up the subscription at the app level, as opposed to the report level. What am I missing?

Thanks!

Hi, rajendraongole1 ,thanks for your concern about this issue.

Your answer is excellent!
And I would like to share some additional solutions below.
Hello,@Dave1mo1 .I am glad to help you.

I found a related article about Power BI app subscriptions.
But note that it seems to be for the Power BI app, not for the Power BI Workspace app. (There is a difference between the two, one is for mobile and the other is for the web.)
If you are using Power BI Mobile, I hope the link below is helpful:

Introducing email subscriptions for Power BI apps | Microsoft Power BI Blog | Microsoft Power BI

For the Power BI Service workspace app, it seems that Power BI Service does not support direct subscription to an app, and such an operation is designed to manage the access rights of multiple reports in the app (each user has different access rights to each report), which is not convenient to manage.
I suggest you try to visual pin more reports to the dashboard and subscribe to this summary dashboard.

One thing to note:
Power BI subscribed emails are usually static. This means that when you subscribe to a report, you will receive a snapshot of the report, not the live updated data. If you need to see the latest data, you will need to open a Power BI service or application to view dynamic reports.
Therefore adding multiple report access URLs to a summary report will not enable dynamic viewing of subscription reports/dashboards.

I hope my suggestions give you good ideas, if you have any more questions, please clarify in a follow-up reply.

Hi @Dave1mo1 - Currently, Power BI does not support setting up email subscriptions at the App level directly. Subscriptions in Power BI are designed to be tied to individual reports, dashboards, or paginated reports within a workspace or app

alternatively:

If app-level subscriptions are critical for your use case:

Consider exporting key reports into paginated reports and managing them with Power BI Paginated Report Builder for more advanced email configurations.
Leverage third-party Power BI email automation tools (like Power On or PBRS) for more custom notification solutions.

Hope this helps.
