What is the correct way to grant access to external users for a PBI report embedded in SharePoint?

Hello,

I need help for the Power BI\Fabric administration.

 

Power BI report is published in Power BI Service and then embedded in a SharePoint site. The external users already have access to SharePoint and the permissions are granted through SharePoint. The users can access all the contents in SharePoint except the Power BI report.

 

Now, how to grant access to these external users or what is the correct way to grant access so that they can view the reports in SharePoint? 

 

Note: These external users have their own Tenant and Power BI Pro License.

 

1) What permissions do I need to grant in the Tenant Admin Portal?

2) Do I need to grant access to these users in the Workspace where the report is published in Power BI Service? 

 

Any help is appreciated

Hi @BBIUser  - To allow external users to access a Power BI report embedded in a SharePoint site, you need to follow a few steps to configure permissions and settings in Power BI Service and SharePoint.

You need to allow external users to access your Power BI reports. Here's how:

Enable Sharing with External Users:

Go to the Power BI Admin Portal.
Navigate to Tenant Settings.
Look for the Share content with external users setting and ensure it is enabled.
Optionally, restrict this setting to specific security groups if needed.
Allow SharePoint Online Embedding:

Ensure the Publish to web (Public) and Embed content in apps settings are enabled for SharePoint embedding.

 

Grant access to power bi:

External users need access to the report and dataset in the Power BI Service workspace where the report is published:

Add External Users to the Workspace:
Go to the workspace where the report is published.
Click on the Access button.
Add the external user's email (e.g., user@externaltenant.com) to the workspace.
Assign them at least the Viewer role. If they need to interact with datasets, you may need to give them higher permissions.
