Report Refresh issue

Hi,

I have a problem with a report which has been set up by another user. They are connecting to a sharepoint list and i'm unable to refresh the report as there is a message that the report cannot be refreshed as at least one of the sources is missing credentials.

The gateway settings are showing that they connect using a personal cloud connection.

In order for me to refresh the report, i think there may be a couple of solutions which are

1. The user grants access to the sharepoint list to me via a service account

2. The sharepoint list is set up as a shared cloud connection.

I'd be grateful for confirmation that both solutions are viable and which may be the preferred option ?

Both solutions are viable, but the second one is recommended.

  • Option 1: Gaining access to the SharePoint list (through your own account or a service account) allows you to refresh the report using personal credentials. It’s quick to implement but relies on an individual user — if that account changes or is deactivated, the refresh will stop working.

  • Option 2: Setting up a shared cloud connection in Power BI makes the link to the SharePoint list independent of personal credentials. This allows multiple users to manage and refresh the report reliably without interruptions.
