I'll be on vacation - how do I give someone else access to publish updates to the dashboard?

Hi,

 

I have the (single) Power BI file, and my co-worker is able to open it and run the update.  They'er also able to publish - but when they do so, I don't see the updated info on my dash (I assume it's on their dash, I guess?  They don't usually use Power BI)

 

How do I set things so that someone else can open my file & push the updates to the dashboard?

@mmace1 Setting up the gateway is pretty painless unless you have a bunch of restrictions or ports to open...

 

You have two options.

1 - set up the gateway and have it run the updates

2 - Create an App workspace, add the other user as an admin, and he can republish the new dataset every morning.

 

*edit. because tab doesn't actually tab....

 

#2 - would require re-creating the dashboard and re-sharing it, etc.

@mmace1 Are you a Pro or free licensed user?

Have you shared the dashboard, or are you just both publishing the Power BI Desktop report to your own workspaces? If you are just both using a Desktop file then neither of you will have a dashboard in sync...

If you shared the dashboard, then you can set up a scheduled refresh by using a gateway. The end user whom you share the report with can't kick off a refresh.

Pro. It's a shared dashboard.

This user I want to fill in for me doesn't actually use the dash - they just have access to the necessary databases to update the file, so am asking them.

We've never gotten into configuring a gateway for autoupdates - was hoping not to figure that out right now, as we don't need that functionality, just someone to push out updates once a morning (1 of the databases only updates nightly)

My concern with the gateway was - my Windows credentials (among others) are needed to access the data to refresh.  If I have the Gateway running with my computer locked (it needs to be if I'm not there) - it couldn't access things to refresh, no?

 

That was what I ran into before, but I didn't delve much into it. 

@mmace1 That is why you would deploy an On premises data gateway on a server, or machine that stays on all the time.

Thanks, I opted to just setup an app workspace with the two of us in it.

 

I actually didn't have to make a new dashboard, since I just have my "dashboard" set with text that has underling links to the reports themselves, which are what people actually use- so just switched out the links.
