Hi all,
We are facing some issues with our on premise gateway in Power BI, each time a user are publishing a report for the first time we get the error message:
If i login with pbiadmin account and look at the same report and take over configuration i can see the gateway and that the data source is mapped correctly, after this we can all access the report. So every time a user publish a report we need to login with admin, just take over and check the gateway and after that it works.
I really don´t understand why it behaves like this or how it´s suppose to work, my understanding was that once the gateway is configured all reports with that particular source should automatically be mapped to the gateway? Do we need any extra priviligies to the other users? I´ve tried to add them to gateway admins but i guess that just have to do with schedule refresh?
Thanks!
Hi @Anonymous ,
Sorry to disturb you...
But did I answer your question ? Please mark my reply as solution. Thank you very much.
Hi @Anonymous ,
What's your data source and connection mode?
For example, the PBIX file connected to the SQL SERVER data source through DirectQuery is uploaded to the Power BI service, and the gateway must be configured to view the visuals of the report.
DirectQuery is a direct connection to data source. Data will NOT be stored in Power BI model. Power BI will be a visualization layer, then query the data from data source every time. Power BI will only store metadata of tables (table names, column names, relationships…) but not the data. Power BI file size will be much smaller, and most probably you never hit the limitation of the size because there is no data stored in the model.
When the data source of DirectQuery is on the Power BI service, the report will not be able to access the data source without configuring the gateway.
For more information about the connection mode, please kindly refer to:

Hi @Anonymous ,
The on-premises data gateway acts as a bridge to provide quick and secure data transfer between on-premises data (data that isn't in the cloud) and several Microsoft cloud services.
For more information about the gateway principle, please kindly refer to:
On-premises data gateway architecture
Add gateway admins who can also manage and administer other network requirements.

Make sure that your users have access to the data sources you create in the service for the gateway
Select the data source, then select "Users", which is next to "Data Source Settings"
Here you can add users
Probably would be good to use a security group for folks you want to have access to the data sources
That way you add the group instead of named users, but that would depend on your process
Good luck,
Hi,
Thanks for your response, i checked that all users in department are added to the data source so that´s not the issue.
Can you think of any reason that some users get the error but are then able to alter the gateway connection and add the datasource as below?
If everything is configured correctly no one should be forced to do this right? The gateway should handle this automatically?
Thanks and regards
