export visual data in excel

can it be possible to export visuals data in excel format either from desktop or from service?

1 ACCEPTED SOLUTION

Hi @powerbiexpert22

As I mentioned in the above reply that Power BI Desktop primarily allows exporting data as a CSV file, which you can open in excel.

If you specifically want to export data as an Excel file, follow below method:

Save your report in Power BI Desktop and publish it to the Power BI Service

Open the report in Power BI Service, and select “export data” from the visual and choose the file format Excel.

Below is the image from Power Bi Service:

in next window, choose comma and finish:

1. Exporting Data from a Visual (Power BI Desktop and Service)
You can export the data underlying a visual (like tables, charts, or graphs) to Excel.

In Power BI Desktop:
Select the Visual: Click on the visual (chart, table, etc.) you want to export.
Export Data:
Right-click on the visual and select "Export Data".
You’ll be prompted to choose the format: either .xlsx (Excel) or .csv (CSV).
Save the File: Choose the location to save the exported file.
In Power BI Service (Online):
Open the Report: Navigate to the report containing the visual.
Export Data:
Click on the ellipsis (...) in the top-right corner of the visual you want to export.
Select "Export data".
Choose either .xlsx (Excel) or .csv format.

Yes, in Power BI, you can export the data behind visuals to Excel format, either from Power BI Desktop or Power BI Service. Below are the detailed steps for each environment.

PowerBi Service:

  1. Go to the Power BI Service and navigate to the report containing the visual.
  2. Hover over the visual and click the ellipsis (...) in the top-right corner.
  3. Select Export data from the dropdown menu.
  4. Select either:
  • Summarized data: Exports aggregated data as shown in the visual.
  • Underlying data: Exports the raw data (requires the dataset to allow this and permissions to access it).
  1. Select the export file format Excel (.xlsx) or CSV is available in the Power BI Service.
  2. Download and save the file.

Note:

  • In Power BI Service, the Underlying data option requires the dataset owner to enable this capability.
  • Power BI Service exports up to 150,000 rows in Excel format and 30000 rows in Csv format for summarized data.

PowerBi Desktop:

  1. Open your report and click on the visual you want to export data from.
  2. Click on the ellipsis (...) in the top-right corner of the visual.
  3. Select Export data from the dropdown.
  4. Choose Summarized data (default aggregation) or Underlying data (raw data behind the visual, if permissions allow).
  5. Select the export file format:
  • CSV (default for Power BI Desktop).
  1. Save the file.

Note:

  • In Power BI Desktop, the data is exported as a CSV file, which you can open in Excel.
  • Power BI Desktop exports up to 30,000 rows in CSV format.

Export Restrictions:

  • Some visuals may restrict exporting data due to size or dataset permissions.
  • Not all custom visuals support data export.
