Premium Capacity Difference

Hello,

Only three people in the company have Power BI, and only two have a Pro subscription to see other dashboards. We tried to share a dashboard with the rest of the staff, but the company doesn't want to pay a Pro subscription per user.

We found that in Premium, we can create premium workspaces where people with no Pro subscription can only see dashboards, but I am confused, with Power BI Premium for one person he create the premium workspace to upload dashboards or the Premium Capacity is a different subscription in Power BI?

Regards.

Hi @esosa23 ,
Here’s a breakdown to help clarify:

  • Power BI Premium Per User (PPU): This is a subscription for individual users, giving them the same capabilities as Pro, plus additional features like AI insights and larger data model sizes. However, PPU does not enable sharing with Free users; only other PPU or Pro users can access content created in a PPU workspace.

  • Power BI Premium Capacity: This is a capacity-based subscription where an organization buys dedicated resources (a "capacity") that can be shared across multiple users. With Premium Capacity (which is typically a more expensive organizational subscription), you can create Premium workspaces. Users with Free licenses can access reports and dashboards in these Premium workspaces, making it suitable for company-wide sharing without individual Pro subscriptions

If your goal is to share dashboards with the entire staff (including those with Free licenses), Premium Capacity would be the right choice, but it does come at a higher price point.
