Data Privacy Level Error

I’m encountering a data privacy error when refreshing my report and would appreciate your help in resolving it.

queries are blocked by the following error :
Table2 is accessing data sources that have privacy level which can't be used together. Please rebuild this data combination.
Table3 is accessing data sources that have privacy level which can't be used together. Please rebuild this data combination.

Steps already taken.
1.) Data source settings ->Edit permission of privacy level to be same as "Private".
2.) Options -> Privacy -> Check the "Ignore the Privacy Levels and potentially improve performance"
3.) Use Table.Buffer()

The issue started after I added a new Excel file (same template) to the SharePoint folder used by Table 1. My current setup is:

  • Table 1: SharePoint Folder

  • Table 4: Web (Excel file via SharePoint)

  • Table 5: Excel file (OneDrive)

  • Table 2: Merge of Table 1 & Table 4

  • Table 3: Merge of Table 5 & Reference of Table 1

-Relationship are all One to Many
Table1 - Table2
Table1 - Table3
Table1 - Table4
Table1 - Table5

I suspect the issue lies in how the tables are merged or referenced, but I haven't been able to pinpoint the exact cause. Could you please help me investigate why this combination is being blocked?

Hi @Krit7900,

Thank you  for reaching out to the Microsoft fabric community forum.

This error is coming because Power BI is treating your sources as different connections. Even though your files are from SharePoint and OneDrive, internally Power BI sees SharePoint Folder, Web, and OneDrive Excel as separate connectors.

When you merge tables that come from different connectors, Power BI checks the privacy levels before allowing the data to combine. If it feels the sources should not be combined, it blocks the refresh and shows error.

Since you already aligned the privacy levels and tried the ignore option, I would suggest keeping the connection type same for all files if possible. For example, if all files are stored in SharePoint OneDrive, try using only the SharePoint Folder connector instead of mixing Web and Excel connectors. Also check in Data Source Settings whether Power BI is showing multiple separate entries for what looks like the same location.

Hope the above provided information help you resolve the issue, if you have any further concerns or queries, please feel free to reach out to us.

Hi @Krit7900

Data privacy setting still remains a wonder to me. Sometimes setting the same privacy level across all sources works — sometimes it doesn’t. If nothing else works, try using dataflows. Recreate the queries in a dataflow and attempt the merge there. If that still fails, load the tables separately without merging, then perform the merge in Power Query in Power BI Desktop. That way, everything comes from a single source type: the dataflow. You just need to time your scheduled refresh to after the dataflow has refreshed.

Have you tried using SahrePoint Folder Connector instead of Web connector and OneDrive connector. Could you try using the SharePoint Folder or SharePoint.Contents() for everything.

Thank you for your suggestion. I was able to resolve the issue by updating the source to match the SharePoint folder. If you have any additional recommendations, please let me know.
