Select All doesn't Select All on Report Subscription

I assume this is something I should go to my help desk for (and have) but thought it would be good to get some views on it here.

 

I have access to a PowerBI report that changes on a daily basis (stock report). I use this information for other means, so have setup a subscription to send the report by email as CSV overnight (also created a PowerAutomate flow to get it into Sharepoint). Then I query the data in a vareity of Spreadsheets.

 

The default view of the report has a number of fields that require input - lets call one Product Code.

 

Each of those fields have the option to "Select All" or pick whatever values I'm interested in.

I've picked "Select All" and created the subscription.

Subscription and Power Automate flows work fine. Report comes through overnight as expected.

 

Problem is that "Select All" doesn't actually Select All - it selects all the available codes/values at the time of creating the subscription, rather than Selecting All at the time of running the report.

 

Example - say we create the report on 1st October and there's three product codes/values

1001

1002

1003

Subscription is created with "Select All" picked.

If on 2nd October we create 1004 the subscription won't select it. It only selects the three codes that existed when the subscription was made. This effectively makes the subscription feature usless in this specific case as I need to either recreate the subscription or manually export the report each time to ensure I've captured all required data.

 

This is also clear in that if I export the report URL to "share" it is around 170,000 characters long with each individual value listed rather than a wildcard of some sort to select all 😂

 

Any ideas? Tips? Suggestions? Alternatives?

The situation you describe is indeed a limitation of subscriptions. You can submit an idea for it at   https://ideas.powerbi.com/ideas/  and wait for users with the same needs as you to vote for you to help make it happen as soon as possible.

 

Perhaps you can use subscriptions to paginated reports. Paginated reports allow you to specify the view of the report people will receive in the subscription by setting the parameters in the subscription pane. 


If your report author has set expression-based parameters (for example, the default is always today's date), the subscription uses that as the default value.
