Power Automate Error

Hello,I've a Power BI report published in Power BI Service with a slicer that filters data by email addresses. The goal is to set up a Power Automate flow that exports the report to PDF for each email address selected in the slicer and then emails each user a report containing only their filtered information.
To start, I simplified my testing approach by attempting a basic export using Power Automate, but I keep receiving the "FeatureNotAvailableError" every time the flow tries to access the report. What I’ve Checked So Far:
  1. Permissions and Licensing:
    • I'm an admin of the workspace and have a Premium Per User (PPU) license.
  2. Functionality in Power BI Service:
    • I can manually export the report to PDF in Power BI Service without issues, which suggests the export functionality is enabled.
  3. Power Automate Connection:
    • I re-authenticated the Power BI connection in Power Automate to ensure it’s valid.
Current Situation:
Despite verifying permissions, licensing, environment settings, and tenant configurations, the FeatureNotAvailableError still appears when the flow attempts to access the report in Power Automate.Any insights into additional troubleshooting steps or possible causes would be greatly appreciated!

Hi @andre_toste

The issue likely stems from Power Automate not supporting PDF export for reports with slicers in certain scenarios or environments. Here's how to resolve it:

  1. Ensure Report is in a Premium Workspace:
Verify the report is in a Premium Capacity Workspace (not just PPU).

  2. Use Filter Parameters in Power Automate:
Instead of slicers, configure the flow to apply filter parameters dynamically using Power Automate.

  3. Enable Export API:
Ensure your admin has enabled the Export to File for Power BI Reports API in the Power BI Admin Portal.

  4. Recreate the Flow:

    • Use the "Export to File for Power BI Reports" action in Power Automate.
    • Test with a simple filter parameter, e.g., ?filter=Table/Email eq 'user@example.com'.
  5. Check Licensing & Limits:
Confirm your PPU license supports the export API and that you’re not exceeding export limits.

If the error persists, contact Microsoft Support as this might be a tenant-level configuration issue.

Hi @andre_toste

There isn't a fully automated solution for your issue using Power BI and Power Automate alone. However, if you consider third-party solutions, BI Helper at https://bihelper.tech could fulfill your needs. This tool is also listed in the Microsoft AppSource store under Business Apps – Microsoft AppSource.

BI Helper is a user-friendly SaaS application that facilitates the automated creation and distribution of personalized PDFs (with applied filters and slicers). It's secure, scalable, and requires just one Power BI Pro / PPU license.

BI Helper doesn't need Power Automate or any additional software, allowing business users to set it up and manage it with ease.

Hi @andre_toste ,

Please check this -

Prerequisites

To follow along, make sure you have the following prerequisites:

At least one workspace in your Power BI tenant backed by a reserved capacity. This capacity can be any of the A1/EM1 - A6/P3 SKUs. Read more about reserved capacities in Power BI Premium.

Access to the standard connectors in Power Automate which come with any Office 365 subscription.

You can refer below article for more details -

https://learn.microsoft.com/en-us/power-bi/collaborate-share/service-automate-power-bi-report-export

I hope it will be helpful.

Thanks,

Sai Teja

Hi @andre_toste

Even with Premium Per User (PPU) license, not all export features are supported in every Power BI environment. Ensure that the workspace where the report resides is hosted in a PPU-enabled workspace, as exporting Power BI reports through Power Automate requires Premium capacity or PPU.

Best Regards,

Jayleny

Can you test this in the REST API Sandbox first?
