Paginated Reports Usage Metrics

Hello Everyone,

I have several workspaces that contain multiple "Paginated Reports," and from what I've found on the internet, it is not straightforward to see the usage metrics for these reports. Could someone help me to find the best way to obtain them?

Thanks

Hi, @julsr

You can refer @johnbasha33 reply, if it does not word, here are several ways to obtain usage metrics for paged reports in Power BI.

1.Audit Logs: You can use Audit Logs to extract Power BI log information (audited reports or dashboards) and then filter individual report usage to get the desired results. Additionally, you can create Powershell scripts to extract audit logs into CSV files and then use the CSV files as a data source for Power BI reports.

2.Power BI Premium Capacity Metrics Application: If you have access to Power BI Premium, the Capacity Metrics application provides detailed metrics on the performance of paged reports within a capacity.

Thanks you both @johnbasha33 and @Anonymous .

Is thr Power BI Premium Capacity Metrics Application exclusive for Power BI Premium or PowerBI Embedded has it too? I'm using PPU licenses and one embedded license but I can't see the option to enable this.

Great, thanks @Anonymous ! I followed all the steps mentioned here Configure Azure Log Analytics in Power BI - Power BI | Microsoft Learn but this is what I get when I execute the KQL queries

How could I know if it's recording the logs properly?

We don't have the Premium License so I think I should skipt this part, right? (see image below)

Hi, @julsr

To determine if Azure Log Analytics has been configured successfully, you can follow the steps below:
1. Launch Log Analytics in the Azure portal, where you can select Logs from the Azure Monitor menu.
2. In the "Tables" tab on the left side of the screen, check the tables that are currently available in the scope.
3. To write and run a query, write the query in the Query window and select the Run button, or place the cursor anywhere in the query text and press Shift+Enter to run the query. The results of the query will be displayed in the Results window. If the query returns the expected results, you can confirm that Log Analytics has been successfully configured.
4. Use the ResultCode of the request to determine if the request was abnormal or successful.

If you are not have Premium capacity, you do not need to configure Azure Log Analytics.

Thanks for the reply. For me it's not clear yet. The step where I enable the Azure logs in powerbi, do I need to do that? It's mandatory to have a premium license for it?

In the table logs and the query results I can't see anything there.

Best,

Julián

Tracking usage metrics for Paginated Reports in Power BI can indeed be a bit more challenging compared to interactive reports. However, there are a few methods you can use to obtain usage metrics for your Paginated Reports:

  1. Power BI Service Usage Metrics:

    • Navigate to the Power BI service (https://app.powerbi.com).
    • Go to the workspace containing your Paginated Reports.
    • Click on the "Reports" tab to view a list of reports in the workspace.
    • Hover over the report you're interested in, and you should see options such as "View usage metrics" or "View report usage." Click on these options to access usage metrics specific to that report.
  2. Power BI Audit Logs:

    • Power BI audit logs contain detailed information about user activities, including report views, interactions, and accesses.
    • You can use the Power BI Management PowerShell cmdlets or the Power BI REST API to retrieve audit log data.
    • By filtering audit log data based on report IDs or names, you can track usage metrics for specific Paginated Reports.
  3. Usage Metrics APIs:

    • Power BI provides REST APIs that allow you to programmatically retrieve usage metrics for reports, including Paginated Reports.
    • You can use the Reports API to get report usage metrics, such as views, renders, and interactions.
    • By querying the API for usage metrics specific to your Paginated Reports, you can obtain detailed usage data for analysis or reporting purposes.
  4. Custom Tracking Solutions:

    • If the built-in options are not sufficient for your needs, you can consider implementing custom tracking solutions.
    • For example, you can embed Paginated Reports in custom web applications using the Power BI Embedded service and track user interactions using application analytics tools or custom logging mechanisms.
  5. Third-Party Monitoring Tools:

    • Some third-party monitoring and analytics tools provide integration with Power BI and offer enhanced usage tracking and reporting capabilities.
    • These tools may offer features such as real-time monitoring, advanced analytics, and custom dashboards for tracking Paginated Report usage.
