Free Trial ended - How do I merge my existing Workspaces to my PowerBI Pro license?

Good morning! I was given a PowerBi Pro license during my "Free Trial" and have two dashboards I've created during my free trial. When I log out and back in, it doesn't show that I'm a Licensed user, but rather that my Free Trial ended. I'm not sure how to access my licensed account, nor how to migrate my workspaces to my licensed account. Can anyone assist??

1 ACCEPTED SOLUTION

I was able to contact our IT and they have now granted my account with Pro, along with my manager, so I believe I'm all set. Thank you for your help on this! It can be a little daunting.

Hi @apierce0115

What you are experiencing usually happens when the account used for your Power BI Pro license is different from the account you used during your free trial. Power BI ties workspaces, dashboards, and reports to the specific account under which they were created, so logging in with a different account—even if licensed—will not automatically show your previous trial content. To access your licensed account, ensure you are signing in with the same email or organizational account that has the Pro license assigned. If your dashboards were created under a different account (the trial account), you have a few options to migrate your work: you can download the PBIX files from the trial account (if still accessible) and then re-publish them to workspaces in your licensed account, or you can add your licensed account as an admin or member to the trial workspaces and then transfer ownership. Note that Power BI does not automatically merge content between accounts, so migration requires manual transfer or download/publish steps. Once your licensed account owns the workspaces and reports, you will be able to fully use Pro features without seeing the trial expired message.

When you log into Fabric, and click your profile in the top right, what do you see as your license type?

I don't know how to log into Fabric, but on my PowerBI account here is what I see: it shows "Free account" but the workspace settings showed "Pro"...

Hi @apierce0115

Yes, that makes sense. You do not have a pro license, which is required.

A workspace being "Pro" means it works for users with a pro license, but every user interacting with it needs to have a pro license.

You will need to get a pro license assigned to your account.

@apierce0115 No problem, happy to help. Licensing can be fun in Fabric, and Azure as a whole.

To make sure I understand, when I went to Workspace settings, under "License info" it shows "Pro"; however, when I select the dashboard I want to share, I get the following pop-up (see below). Does this mean I have a Pro license, and these dashboards are part of this license (even though it says to "Upgrade to a paid Power BI license")? Or are these not tied to my Pro license and I need to do something else? Also, in order to share with a non-licensed user, you're saying I need a Premium license, correct?

Hi @apierce0115
A lot of features such as sharing reports to users without a pro license, and creating fabric items require either a premium capacity (which is what the trial gave you) or a premium per user license.

You can go to workspace settings and select the license type of Pro as long as you don't have any Fabric items.

I'd also recommend downloading the reports so you have a backup.
