Export Excel Table from Publish to Web

Hi Power BI Community,

I have a Power BI report that I’ve published to the web using the Publish to Web option, and I want to provide users the ability to export data to an Excel file.

Since the Publish to Web feature does not allow exporting data, I’m looking for any possible solutions, such as:

  • Using Power Automate flows to enable export to Excel.
  • Using custom visuals that allow exporting data.
  • Any other techniques or solutions.

Does anyone have recommendations on how I can approach this?

Thank you for your help!

Hi @yanain9 -

The "Publish to Web" feature in Power BI does not support exporting data to Excel or other formats. However, there are alternative methods you can use to enable exporting data in such scenarios:You can use Power Automate to automate the export process. Create a flow that exports the underlying Power BI dataset to Excel or SharePoint.

  • Steps:
    1. Set up a Power Automate flow.
    2. Use the Power BI action to "Get Dataset" or "Export Data" from a visual.
    3. Send the data to Excel or a SharePoint file.

Approach 2: Instead of using Publish to Web, you can embed Power BI reports on your website with secure access through Power BI Service or Embedded Power BI and enable export features for authorized users.

  1. Embed the Power BI report on your website using the Embed feature (not Publish to Web).
  2. Provide users with the ability to export data if they have appropriate access.
  • Pros: Keeps data secure while allowing users with the right permissions to export data.
  • Cons: Not as open as "Publish to Web," requiring login access for the users.

Hope this information helps.

Hi @yanain9 ,

Reports published to web(public) do not currently support exporting data from visuals. You can refer to the limitations on "Publish to web(public)" in this document.Publish to web from Power BI - Power BI | Microsoft Learn

PowerAutomate Button visual require authentication to start flows, and buttons cannot take effect in public websites because PowerAutomate does not support unauthenticated scenarios. More restrictions You can view this document.Create a Power Automate visual for Power BI - Power BI | Microsoft Learn

As rajendraongole1 mentioned, I suggest you try publishing report on a website or web portal, instead of publishing it on the public website.

Best regards,

Mengmeng Li

Thank you for your explanation, @rajendraongole1 .

According to your suggestion, I have tried to export the data with Power Automate. It worked only on Power BI Service. The Power Automate Flow button cannot be seen when it is Publish to Web

Is there any setting or configuration I have to changes in order to see the Power Automate Flow button.

Thank you for your help.
