Hi,

I have to present below data (the list has 675 users) in various formats:

User Name

Account Name

Location

How can I present one data for Location showing breakup? I am trying to present it in donught format but am unable to do that.

Another data for Account Name with User Name ie how can users are from which account?

Here’s how you can present the data for Location and Account Name in Power BI:

1. Presenting Location Data in a Donut Chart

A donut chart is a great way to show the breakup of users by Location. Here’s how you can set it up:

  1. Load Data:

    • Ensure your data is loaded into Power BI with columns for Location, User Name, Account Name, and Course Title.
  2. Create a Donut Chart:

    • Go to the Visualizations pane and select the Donut Chart.
  3. Configure the Donut Chart:

    • Drag the Location field to the Legend area.
    • Drag the User Name field (or any field you want to use for counting) to the Values area. Make sure it’s set to Count to count the number of users for each location.
  4. Customize the Donut Chart:

    • Use the Format pane to adjust the appearance of the donut chart as needed. You can adjust colors, labels, and other visual elements to make the chart clear and appealing.

2. Presenting Account Name with User Name

To show how many users are from each Account Name, you can use a bar chart or a matrix. Here’s how to do it with both:

Option 1: Bar Chart

  1. Create a Bar Chart:

    • Go to the Visualizations pane and select the Bar Chart.
  2. Configure the Bar Chart:

    • Drag the Account Name field to the Axis area.
    • Drag the User Name field to the Values area and ensure it is set to Count.
  3. Customize the Bar Chart:

    • Use the Format pane to adjust the chart’s appearance, labels, and colors.

Option 2: Matrix

  1. Create a Matrix:

    • Go to the Visualizations pane and select the Matrix.
  2. Configure the Matrix:

    • Drag the Account Name field to the Rows area.
    • Drag the User Name field to the Values area and ensure it is set to Count.
    • Optionally, you can also drag Location or Course Title to the Columns area if you want to further break down the data.
  3. Customize the Matrix:

    • Adjust formatting in the Format pane to enhance readability and presentation.

Hi @MalvikaBhasin ,

Regarding your question, when Power Query creates a query, it will analyze whether the format of the first row is different from other rows. If it is different, that row will be used as the column name. However, Power Query is not 100% able to judge success, and sometimes you need to change it manually.

But why is my title in below image not taken as title instead they are included in 1st column.

What can I do to ensure that titles appear as title.

Hi @Shravan133 ,Thanks for your quick reply, I will add more.

Hi @MalvikaBhasin ,

Regarding your question, do you want to group by account name and count the number of users of different accounts?

You can place the fields like this.

If I understand you incorrectly, could you tell me more about your needs? I don't quite understand.

Hi,

Why are my headers of Course Title, Full Name, Acount Name and Type not appearing as headers in below image. Instead they appear in row 1. Why such a discrepancy? Headers.JPG

This is the excel file that was imported.

Hi Shravan,

This is the output. I am facing issue with Matrix. Just review, and confirm how to correct this?
