Exporting Planner Data with Power Automate & Visualizing in Power BI

Hi everyone,

I’m currently working on an internal project and looking into how KPIs based on MS Planner data can be created and visualized.

My idea is to automate the export of Planner data (e.g. to Excel or a SharePoint list) using Power Automate, and then process and visualize it in Power BI.

Before I proceed, I’d like to ask:
👉 Is this setup technically feasible?
👉 Are there any known challenges (e.g. permissions, data access limitations)?
👉 Any best practices or tools you’d recommend?

Yes 100% possible:) i once automated our Planner tasks to Power BI report by following tutorial videos from Christine Peyton. She`s such a good expert in Power Automate!

Would you also recommend PowerBI for 1.) creating my KPIs and 2.) visualize them in a dashboard?

No problem! by recommending Power BI for these two works did you mean if Power BI would be a better tool than others in visualizing them? or?  

Yes, I was mainly asking whether Power BI is the best-suited tool for

  1. creating KPIs based on Planner (or similar) data, and

  2. visualizing them effectively in a dashboard — especially compared to other tools like Excel, Tableau, etc.

If you have any insights or recommendations based on your experience, I’d really appreciate it!

I'd say the fair answer would be it depends on your organization. I personally use Power BI all the time because this is required where i work. In terms of performance, there are pros and cons for each tool, but both do the jobs 🙂 

ok, but if my company already uses PowerBI, it probably would be the obvious choice, right?

Correct, plus Planner is also from Microsoft. so technically it's easier to integrated.
