Data Source Not Populating Visuals Even Though Successfully Connected?

 HI! 
I've encountered a VERY unique problem I've never come across before... 

I've published a desktop report to my gateway (I've already got 3 other reports on the gateway), but the visuals for this particular report are not populating? 

The error message I received is: " This report couldn't access the data source, contact _____, the author to have it fixed."

I checked the data sources, ensured my correct credentials were used, and it still won't upload the data..... 

 

Please let me know if anyone has an explanation and fix for this!

Discovered the reason why my report was not publishing! 

Desktop loaded one of my SQL queries as a Direct Query and not an Import. 
This is a small data table so import mode made sense. 

When I reconnected the two tables via Import Mode it published with no issues. 
I hope this helps anyone who comes across this problem!

Please try below troubleshooting steps: 

 

  • Check Data Source Mapping, Go to the Power BI Service, open the settings for your gateway, and ensure the data source listed there exactly matches the one used in your report. This includes the server name, database, or file path. Even small differences like uppercase vs lowercase or local vs network paths can prevent the report from loading.
  • Verify Gateway Connection, In the Power BI Service, go to your dataset settings and check the Gateway Connection section. Confirm that the dataset is assigned to the correct gateway and that the data source credentials are entered and showing as valid.
  • Check Privacy Settings, In Power BI Desktop, go to File > Options and Settings > Options > Privacy, and for the current file, set the privacy level to “Ignore” if your organization permits it. This can resolve some conflicts that prevent the visuals from loading through the gateway.
  • Manually Refresh Dataset, Try refreshing the dataset manually from the Power BI Service. If it fails, review the detailed error message shown, it often gives a more specific reason than what appears on the report itself.
  • Try to publish the same report to a different workspace that uses the same gateway. If it loads there, the issue may be with workspace permissions or dataset access in the original workspace.
  • Update the Gateway, Check that your on-premises data gateway is up to date. Outdated gateways often cause connection failures with newer Power BI Desktop or service versions, so download and install the latest version if needed ( https://www.microsoft.com/en-us/power-platform/products/power-bi/gateway )

I've tried all options except for the last one. I don't have access to update the Gateway unfortunately. But it's also weird because all my data connections work on Desktop. 
And I use the same data connections for 2 other reports that successflly published...... But this one (using the same data source) will not publish??? 

When I publish this report from Desktop I get a 'Success' notification that it was published, but then after none of the visuals load once on the gateway I get a "The report couldn't access the data source." Despite the fact that there are no errors under the Semantic Model-->Settings--> Data Connections or Credentials.

And the report refreshed fine in Desktop....

Even if the connection looks identical in Desktop and you have used the same source in other reports, Power BI treats each data source string as distinct, so even a difference in casing or an extra space can prevent a proper match.

 

  • Open one of the working PBIX files.
  • Go to Advanced Editor in Power Query.
  • Copy the exact connection string and structure.
  • Paste/replicate that structure into the problematic report’s queries.

This ensures both reports use byte-identical connection strings, which will allow the Gateway to match them.

Thank you for the help troubleshooting. Unfortunately I still get the same error using a known working query that is published to another report.

So not sure what is going on here- but I'll be escalating this to our IT team for further assistance.
