Error in scheduled refresh
Hello!
I have a Power BI report connected to a SharePoint Online list. This SharePoint list receives data from a Power App, and that part works fine. However, when new data is added to the SharePoint list, the Power BI report does not update automatically.
I created a Power Automate flow to refresh the dataset whenever a new item is created, and the flow shows as successful, but the data in Power BI does not refresh.
Additionally, in the semantic model, the Refresh button is disabled, and I see this message:
"Due to consecutive errors, scheduled refresh has been disabled. Please resolve the error on the dataset and then re-enable. Data source for Query1."
Iβm not sure what the error could be. Could you please help me identify and resolve this issue? Thank you!
Hi Isajp2002
You must open your file in power bi desktop and check your query Data source for Query1 and resolve the error on the dataset and then re-enable.
How to fix it
- Check the error details:
- Navigate to Dataset Settings β Refresh History.
- Review the last error message (for example, authentication issue, missing credentials, query timeout).
- Resolve the root cause:
- If it is a gateway issue, ensure the gateway is online and correctly mapped.
- If it is credentials-related, re-enter them under Data Source Credentials.
- If it is a query error, validate your transformations in Power Query.
- Re-enable scheduled refresh:
- After resolving the error, go to Dataset Settings β Scheduled Refresh.
- Switch Keep your data up to date back to On.
Common causes
- Expired credentials (OAuth tokens, database passwords).
- Gateway offline or not updated.
- Query changes that break folding or cause timeouts.

Hi Isajp2002,
Before continuing to invest time in Power Automate, it is worth assessing whether this solution is truly necessary. For data stored in the cloud, such as SharePoint Online, Power BI already supports scheduled refreshes directly in the service without requiring an additional flow. Why Consider Scheduled Refresh?
- Power BI Service can synchronise datasets with online sources without a gateway.
- You can set a reasonable frequency, for example every hour, which is sufficient for most scenarios.
- This approach is simpler, more stable, and does not depend on additional integrations.
Only if you require immediate refresh after each item is added via Power Apps. For this, I recommend the topics bellow:
