power bi license

 

1. How will I know if i have pro or premium license, is it through power bi servie ?

 

2. I heard its possible to share a dashboard or report with a user who doesn't have a power bi license , provided I have a premium account, is it true ?

To share with external users whose license are free, if your dashboard contains Power BI free features, recipients are able to view the shared dashboard. But if dashboard contains pro content, those external users need pro licenses.

Hi @Anonymous,

 

you can indeed share your report with an unlimited amount of free users when the workspace is in Premium capacity. Only users developing reports and publishing content to the workspace will need a pro license.

You could use this calculator to see what the aproximate costs for Premium will be in your scenario.

 

There is one more option available (to make it a little more confusing :-)), that is Power BI Embedded, for embedding reports in apps: you can read more about that here or watch this short intro video. Power BI embedded is cheaper then Premium, but also for a different use case. You can also find pricing details for Power BI Embedded.

 

Please have a good look about the available options and your use case before you decide upon one of these 🙂. Another reference might be this link for ways to share your work in Power BI.

For question 2, you cannot share with soeone who does not have a Power BI License, unless you're embedding.  However, IF your organization has a Premium license AND you have stored your report in dedicated capacity (the workspace has a diamond icon), THEN you can share outside your company as long as recipient has Pro license or Pro trial.  Just add the external user's email address to the workspace's "Access" tab and when you "Create App", put their email address in there too.

I'm not sure there is an obvious way within the Service that tells you if you have a Pro license. It is provisioned within the Office 365 Administration portal. If you can create Workspaces you probably have a Pro license. For Premium, you will know you have premium if you can go to the Workspace settings, click Premium tab and actually toggle on Premium.

 

Now, if you activate Premium capacity on a Workspace, yes, you can share a report out with a user and a user that does NOT have Pro can access and view that report.

For that to work, you do need to publish the content from a Premium workspace (recognizable by the diamond after the workspace name) in an App and share that with the user(s).


In the Service, if you click on the settings wheel> Manage personal storage you should see the license (free or pro) behind your name.

Also, what is the difference between workspace premium vs premium account ?

Question: So my understanding about premium account is this, I can work on numerous workspaces (lets say 5), and out of those 5, two of them can be premium based, while 3 can be pro, so premium account is correlated to workspace, and not my account itself. ?

Power BI Premium subscriptions are purchased by administrators in the Microsoft 365 admin center. Specifically, only Office 365 Global administrators or Billing Administrators can purchase SKUs.

With Power BI Premium, you get dedicated capacities.

Workspaces reside within capacities.
When you have Premium capacities, both My Workspaces and workspaces can be assigned to Premium capacities.

If the report exists within the dedicated capacity, unlimited content sharing can be implemented.

what is the meaning of power bi free features ? the users cannot export into excel ?

Luckily there's a dot after the 1 🙂 So it's $1.0081/hour.

As for the 2 users, are they external to your organization?
Premium is still way more expensive then 3 pro licenses/ month, that's only $30.
If you want to share things securely, a free license is not an option. There is also an option to Publish to the Web, but there's no security at all over your data/report, so anyone with the link can access it.

@nickyvv  embedded looks to be very expensive, $1000 per hour !!!

 

The quesiton I have is with regards to premium capacity - in my case as I said there are 3 users, I just got access to one of them, remaining 2 don't have power bi, so those 2 should have a free license ? only then i can share the report in the app with them? also, free license means no cost at all ?

The user has to have a (free or pro) license in your tenant, it can also be a guest user (external). So I don't know exactly what you want to achieve, can you explain this further?

 

Regarding your question:

Premium is indeed a capacity based license, where you can assign workspaces to this Premium capacity.

User licenses can be either a free or a pro license.

@nickyvv  i have to build a report, and share it with 3 users, one has a pro license, remaining two don't use power bi. If I upgrade my workspace to premium, then according to your reply, i can share it with them provided those 2 users have "free license" . Correct ?

 

what I am trying to achieve is to try to share my report with users who don't have access to power bi at all.  so they both submit request for a free license and thats all it takes?

sorry, I should've been more clear, but Premium is not gonna solve your case then, because it starts at roughly $5000/month: https://powerbi.microsoft.com/en-us/pricing.
So then you'd be better of paying the pro license for those 2 users.
