Send wrong PDF subscriptions to users across all departments

Hi I published a report after changing the filters but PBI sending the same Subscription ( Previous sent with another filters ).

 

Causing huge misguide to the Clients & USERS.

 

What is this? Frustrating..

 

Can we call back the wrong subscription mail ? or ris it possible replace the previous one with latest changes while sending  subscription

Thanks for getting back and apologies for delayed response. I understand the challenge of manual updates, especially for non-Power BI developers. Unfortunately, Power BI subscriptions do not dynamically capture filter changes unless explicitly modified, saved, and reconfigured.

 

Found a similar discussion that might be helpful:

Scheduled report shows old data - Microsoft Fabric Community– Highlights a potential issue with Power BI using UTC time for scheduling, which can misalign with local time zones. A suggested workaround is adjusting filter conditions based on UTC.

For example, if your subscription runs at Mar03 8:00 PM (UTC+10), Power BI may apply filters as of Mar03 10:00 AM (UTC+0), which could impact time-based filters like “last one day.” Adjusting the filter conditions accordingly can help.

Power BI Subscription Documentation – Explains how saving changes to a subscribed report affects subscriptions.

 

Possible Solutions:

  1. Save the report after applying filters before modifying the subscription.
  2. Use bookmarks to retain predefined filtered views.
  3. Adjust filter conditions if time-based filters are misaligned due to UTC settings.
  4. Modify the subscription timing to ensure it runs after the dataset refresh is complete.
  5. Explore Power Automate for dynamic report distribution.

Since recalling or replacing sent subscription emails isn't possible, these steps can help reduce manual effort. Let us know if you need further assistance in any of these steps.

I understand your frustration regarding the Power BI subscription not reflecting the latest filter changes. This happens because subscriptions capture the report’s state at the time of creation, and any filters or slicers applied afterward may not automatically update unless the report is properly saved.
Additionally, once a subscription email has been sent, Power BI does not provide an option to recall, modify, or replace it with an updated version containing the latest changes.

->To resolve this, please ensure that after applying the necessary filters, save the report before editing or recreating the subscription. Additionally, the "Include my changes" option may not always retain filters across different pages, so saving the report directly is a more reliable approach. If your report uses bookmarks, check that they are updated and set as default before configuring the subscription.

->Another factor to consider is the timing of your dataset refresh. If the subscription runs before the data refresh is complete, it may send outdated information. Ensuring that the dataset refresh is scheduled before the subscription email is generated can help avoid this issue.

->I recommend trying to edit the existing subscription after saving your changes. If that doesn’t work, deleting and recreating the subscription should ensure it captures the latest version of the report.

Thanks for your valuable info.

For this we need to do manula changes everyday right,. That is the concern here.

PBI developer knows but after handing this dashbaord to the team( Non - PBI developers ), they have do this process manually everyday. -- this process is painful even thought we have automatic sending options.

 

I did refresh of the reprot + modifief fulters + saved -- but still getting outdated subscription vial mails then my Manangers/ Leaders asking me loudly what is the wrong with this you & Mail & PBI tool....

 

what i am going to tell? there are so many questions here.... Really hurtful after eventhough we have all the options still doing manual things...
