PowerBI Pro shared storage explanation
Hello all,
I have some questions regarding shared storage/capacity (I am not sure if they are exactly the same thing in PowerBI service) among powerbi pro users. I am bit new to PowerBI services and I need some clarifications.
I have seen other related posts but I cannot understand yet how to share storage among powerbi pro users.
As stated in the official docs:
Shared capacity limits
For workspaces in shared capacity:
- There is a per-workspace storage limit of 10 GB.
- For app workspaces, the total usage can’t exceed the tenant storage limit of 10 GB multiplied by the number of Pro licenses in the tenant.
Also I have a screenshot from the same doc some months ago which stated the following (storage limit 100GB). Maybe it was a typo as they talk about in: https://community.powerbi.com/t5/Service/Data-storage-in-Power-BI-workspaces/td-p/1075748.

- For app workspaces, the total usage can’t exceed the tenant storage limit of 10 GB multiplied by the number of Pro licenses in the tenant.
So my questions are the following:
1) Can I share the storage among power bi pro users? eg Is it possible to have a shared capacity like 100GB lets say from 10 pro users?
2) Is there any limit in shared storage?
3) How to configure the shared capacity? Is there any detailed guide available?
4) Is there something like central managing for this storage eg Admin user?

1) Can I create an app-workspace with shared storage of Pro users right?
->Yes in Premium Licence
2) Is there any limit to how many Pro licencses I can use in the app-workspace in order to take advantage of their storage?
-> Not that I know
3) Is their any detailed guide how to configure an app-workspace with shared storage?

4) Is any central management of the app-workspace?
-> App Workspaces are nothing else than normal workspaces - so yes you can go to the Admin Portal and take a look into the Workspaces - there are also fancy Power Shell Skripts to analyse such things 🙂 -

- If you have shared capacity and no premium you can't shift any capacity. You need Premium to give special workspaces capacity.
2) Is there any limit in shared storage?
- Like the documentation said 10GB per licence.
3) How to configure the shared capacity? Is there any detailed guide available?
4) Is there something like central managing for this storage eg Admin user?
- If your capacity manager in Power BI you can go to the Admin Portal in the Power BI Servie. Rigth site beside your profil picture (three dots) - Settings - Admin Portal

Fist of all, thank you for the quick repsonse. Secondly, I want to ask this again so it could be clear for me.
So in the official docs (https://docs.microsoft.com/en-gb/power-bi/admin/service-admin-manage-your-data-storage-in-power-bi) it is stated that:
"Workspace storage limits, whether for My Workspace or an app workspace, depend on whether the workspace is in shared or Premium capacity."
So there are two options, shared and premium capacity. As I understand shared capacity is about Pro licences. As stated in the official docs:
"Shared capacity limits
For workspaces in shared capacity:
- There is a per-workspace storage limit of 10 GB.
- For app workspaces, the total usage can’t exceed the tenant storage limit of 10 GB multiplied by the number of Pro licenses in the tenant."
I am specifically interested in purchasing PowerBI Pro licences and share their storagage eg in an app-workspace but I am not 100% sure if it is possible and how to do it.
If the above statements hold, my questions are pretty much the same:
1) Can I create an app-workspace with shared storage of Pro users right?
2) Is there any limit to how many Pro licencses I can use in the app-workspace in order to take advantage of their storage?
3) Is their any detailed guide how to configure an app-workspace with shared storage?
4) Is any central management of the app-workspace?
