How to build the right setup?

Hi guys,

I've worked at a Power BI 'installation' where they have made 3 workspaces:

DTA

P

Power Users

In DTA and P where some dashboards, ordered per type of employee. Lets say: internal salesmen, external salesmen, management and so on. In 'Power Users' there were some power users made admin which gave them the capability to publish stuff and so on. We didn't use apps at all. That choice was made before I joined the team, because of somebody in the team said it was not nice for people to go actively looking for some content. So we gave them the dashboards, based on there presence in AD-groups.

But now I'm going to setup a new Power BI environment at a new customer and I'm doubting about how to start. We have around 10 disciplines/employeetypes but we can also imagine that in 1 discipline there are people who want to have an other dashboard as their colleagues. So it seems that we must be able to:

  • Have a Development part for us as developers
  • Have a Test/Acceptation part for us and some business people
  • Have a Production part for a big part of the organisation.
  • In the organisation we have around 10 types of employees with each of them having there own wishes for information
  • In these 10 types we suspect that there are different needs for different people
  • There will be some users who want to download a pbix and make some changes to it or even want to create there own reports

I've been looking at this community and Google for some hints about how to setup a clean Power BI environment but I think I wasn't able to find the correct search terms; I didn't find any helpful articles or threads.... So now I'm asking it here.... How to setup in these case? What have you done and how did this work out?

hi, @MiKeZZa

I think you could use create a workspace and set the roles for the users and also the Permissions of the dataset, of course, RLS is a good way for it too.

Hi @Lili ,

Forgot to mention that, but roles are also implemented in both situations.

But the question is more about; make a dashboard for people with everything they need or make multiple dashboards an use apps? What's the best choice when it's also needed to have personal reports and dashboards for specific users.

hi, @MiKeZZa

I think make multiple dashboards an use apps will not be puzzled.

and RLS may be a good choice for your requirement.

Hi @v-lili6-msft; what do you mean with  'use apps will not be puzzled'? You see it's not necessary (or even better to don't use it here) or am I mistaking you?

I'm reading more and more stuff about how to setup Power BI in a large environment, but I still don't get it.... How are people doing this:

  1. Sharing dashboards is not recommended because of that you can't split DEV and PROD. So everything you develop is directly on PROD.
  2. Usings apps is hard because of that you can have only 1 app in a workspace. So you must make a large app with everything in it (more than you want for specific users) or you must make many workspaces and duplicate reports many times (will be a little easier when shared datasets are generally available).

Am I missing something or isn't there a good way to solve this without making your own stuff with security in it in Sharepoint, with Embedded or something like this?
