I have a requirement to create automated report data from powerbi table to excel in email to be sent to some users. Is there any way we can achieve this in PowerBi.If paginated report is one of the solution I would like to know any veasy way to convert exiting report to paginated report easily instead of rebuilg it from scratch ?Kindly let me knoe the possible solutions.
Hi @Lancy_vini ,
Thanks for reaching out to Microsoft Fabric Community.
Just wanted to check if the responses provided were helpful. If further assistance is needed, please reach out.
Thank you.
Paginated reports are designed exactly for this type of requirement.
Create the report in Power BI Report Builder
Connect it to your Power BI semantic model or SQL source
Add the dataset and table layout
Publish to a workspace
Create a subscription → send Excel attachment
Hey @Lancy_vini ,
Yes, this requirement can be achieved using Microsoft Power BI, but exporting report table data directly to Microsoft Excel through an automated email subscription is not available for standard Power BI reports. However, there are a few practical solutions you can use.
One common approach is to use Power BI Paginated Reports. Paginated reports support email subscriptions where the report can be automatically sent in formats like Excel, PDF, or CSV. When the subscription runs, the system generates the file with the latest data and sends it to the selected users. However, existing Power BI reports cannot be directly converted into paginated reports with a single click. You would still need to recreate the layout in Power BI Report Builder, although you can reuse the same dataset or semantic model from your current report so you don’t need to rebuild the data model.
Another option is to automate the export using Microsoft Power Automate. With Power Automate, you can schedule a flow that exports data from a Power BI dataset or report and then sends it as an Excel file in an email. This approach works well if the requirement is mainly to send table data rather than a formatted report.
A simpler alternative, if users only need access to the data, is to connect Excel directly to the Power BI dataset using the Analyze in Excel feature. This allows users to refresh the data in Excel whenever needed, although it does not automatically email the file.
In summary, the easiest automated email-to-Excel solution is usually Paginated Reports with subscriptions, while Power Automate is a good option if you want a more flexible automation workflow without rebuilding the report layout.
If this explanation helped, please mark it as the solution so others can find it easily.
If it helped, a quick Kudos is always appreciated it highlights useful answers for the community.
Thanks for being part of the discussion!!!
Hello @Lancy_vini,
Power BI report subscriptions cannot send Excel files. Standard subscriptions only support sending a link, PDF, or PowerPoint.
Possible options
Paginated Reports
Paginated reports support Excel export and email subscriptions with the Excel file attached. Existing Power BI reports cannot be converted automatically. The report must be recreated in Power BI Report Builder using the same dataset or semantic model.
Power Automate
Use a scheduled flow to export data from a Power BI table or visual and send it as an email attachment.
Analyze in Excel
Create an Excel workbook connected to the Power BI semantic model and distribute the workbook.

Hi @Lancy_vini ,
Yo uare correct that the easiest way to do this is to have the paginated report and Premium license and then you just create the subscription and email the report as an Excel file. If you are wanting to modify an existing report and change it to a paginated report there is no direct migration/conversion. But, building it again in paginated report is relatively easy.
Start the paginated report and connect to your existing dataset. Then, copy the query from the regular report and past it into the report builder. Then, you just need to recreate your visuals and you will be done. Note though that paginated reports have fewer visual options than a "regular" report.
