Using Button To Export Data From Table

Hello Expert,

 

Good Day!!

 

I have created Table in my report where we know by default we have three dots option to export data but in my project end users request to have button on top of Table where can we have option to export data, so dear expert please suggest if we could achieve by using button.

Yes, Ritesh — it’s possible to create an export experience without Power Automate, but it comes with some caveats. Let’s explore a few alternatives:


Option 1: Use Paginated Reports (Premium Feature)

If you're on Power BI Premium or PPU, you can use Paginated Reports to create a custom export button.

  • Design a paginated report using Power BI Report Builder
  • Embed it in your Power BI report using a navigation button
  • Users can export to Excel, PDF, CSV, etc., with full formatting
  • You can pass slicer values via URL parameters for dynamic exports

Use PBRS (Third-Party Tool)

PBRS (Power BI Report Scheduler) lets you automate exports without Power Automate.

  • Schedule exports to Excel, PDF, or CSV
  • Send files to email, FTP, Dropbox, etc.
  • Supports formatting, encryption, and dynamic filters

⚠️ Limitations Without Power Automate

  • No native export button in Power BI Desktop or Service
  • Default export via ellipsis (...) is still the fallback for most users
  • Custom scripting or embedding via Power BI Embedded may be needed for advanced use cases

If you're working within a Pro license and want a seamless export button inside the report, Power Automate is still the most flexible route. But if you're on Premium or open to third-party tools, paginated reports or PBRS can give you that polished experience.

I wouldn't use Power Automate unless there's an enterprise scenario, such as scheduled backup etc.

 

Power Automate requires Flow and needs ongoing maintenance if data schema changes, and there's licensing costs too. 


The Three Dots in fact gives users more options. Users can export summarized data as well as underlying data, which actually provides users with more options. If me I'd simply add button and bookmark with instructions and guide users to export data through three dots.

Right now, Power BI doesn't support exporting table data directly through a custom button placed on the report. The only way to do that is by using Power Automate, where you can build a flow to export the data when a button is clicked. But that requires some setup including licensing, building the flow, and possibly a gateway if you're using on-premise data.

If you're looking for a simpler workaround, you can just add a button with a tooltip or text label near your table saying:
"Click the three dots (…) to export this data" it's not perfect, but it helps guide users.

Power BI does not natively support exporting data from a visual using a custom button (like a "Download" or "Export" button placed above the visual). The built-in export functionality is limited to the ellipsis (...) menu or exporting the entire report/page via Power BI Service (e.g., as PDF/PPT).

Add a Custom “Export Data” Button with Tooltip: You can add a dummy button labelled “Export Data” and configure a tooltip to guide users to use the ellipsis menu to export the table data. This offers a more intuitive experience for your end users.

Use Power Automate (Premium/Pro Users): If you are using Power BI Service, you can add a Power Automate visual that lets users trigger a flow to export the table’s data to destinations like Excel, OneDrive, or SharePoint.

Totally get the request — a lot of users prefer a clean export button instead of using the three-dot menu.

Here’s what you can do:

Option 1: Use a Power Automate button

  • Add a Power Automate visual to your report
  • Create a flow that exports the data from your table to Excel or OneDrive
  • Trigger that flow using the button

This gives you a proper export experience, but it does require a bit of setup and a Power Automate license.

Option 2: Use a bookmark + tooltip trick (visual only)

If you just want to simulate the look of a button:

  • Create a shape or button above your table
  • Add a tooltip or note that says “Use the three dots to export”
  • It won’t export directly, but it guides users clearly

Option 3: Export from Excel connected to dataset

If your users are okay with Excel:

  • They can connect to the dataset from Excel (Data > Get Data > Power BI)
  • Then filter and export as needed

Unfortunately, Power BI doesn’t currently support native export via custom buttons — but the Power Automate route is your best bet if you want a real export action.
