Sharing Power BI Workspace and Data Gateway Connection Between Two Organizations: Configuration and Troubleshooting Steps
Hello Power BI Community,
I am facing challenges in sharing a Power BI workspace and data gateway connection between two users from different organizations. Here’s the setup:
### Current Office Setup:
1. I connect to a **jump server (90 box)** from my office laptop.
2. **27 box**: Hosts Power BI Desktop and Power BI Data Gateway.
3. **92 box**: Hosts the SQL Server database (in a private network on AWS).
4. I use Power BI Desktop on the 27 box to connect to the SQL Server database on the 92 box using the import method.
5. I publish the reports to Power BI Service and set up a scheduled refresh.
6. I use a PowerBI Pro License. (avinash.r@abcsolutions.com)This same account is used in PowerBI Desktop, PowerBI Data Gateway and PowerBI Service.
7. Power BI Desktop** and **Power BI Data Gateway** will be installed on the customer’s machine.(in USA)
8. The **SQL Server database** is hosted on our **AWS EC2** instance.(in INDIA)
- User 1 (`avinash.r@abcsolutions.com`) and User 2 (`powerbiuser@abc.com`) both have Power BI Pro licenses.
- Both users are configured in Azure AD to access shared workspaces, and we’ve enabled cross-organization collaboration.
- `powerbiuser@abc.com` has been added as a **Viewer** to the SCG CXi workspace, and the data gateway connection has been shared from `avinash.r@abcsolutions.com` to `powerbiuser@abc.com`. Both accounts have Admin rights and are assigned as Owners of the data source.
Questions:
1. Are there any specific configurations in Azure AD or Power BI Admin settings that might prevent successful sharing between these two domains?
2. Do both users need to have a Premium Per User (PPU) license instead of a Pro license to collaborate in this cross-organization setup? According to the Microsoft documentation on [Power BI license types](https://learn.microsoft.com/en-us/power-bi/fundamentals/service-features-license-type), PPU seems necessary for accessing certain Premium features even with Pro licenses.
3. Are there any known issues when sharing data gateway connections across tenants that might require additional configuration or troubleshooting?
Any insights, similar experiences, or solutions would be greatly appreciated!
3) Not only can gateway connections not be shared across tenants, they cannot even be shared across network segments in your internal network. You need to create separate gateways, and all of a semantic model's on-prem data sources must be served by the same gateway.
