Report Rationalization is an efficiency-driven process focused on optimizing the management of reports and underlying data models.
It is conceptually similar to Operational Excellence, but specifically applied to the Business Intelligence (BI) environment.

This process involves:

  • Evaluating report usage to identify redundant, outdated, or underutilized reports.

  • Analyzing report content and data models to detect duplications and inefficiencies.

  • Consolidating similar reports and datasets to reduce technical debt and improve maintainability.

  • Streamlining report structures to align better with current business needs and enhance user experience.

Report rationalization typically begins with analyzing actual usage patterns through access logs, user feedback, and system monitoring tools. Each report is assessed to determine its relevance, value, and alignment with business objectives. Redundant or overlapping reports are identified, and opportunities for consolidation or redesign are explored. Business stakeholders are engaged throughout the process to ensure that critical reporting needs are preserved and improved where possible.

This step is essential before any BI migration or modernization initiative.
A well-executed rationalization effort prevents the transfer of inefficiencies into new systems, significantly reduces migration and maintenance costs, and often uncovers opportunities to improve business processes alongside technical upgrades.

Report rationalization involves assessing and optimizing a broad set of reports to eliminate duplication, enhance clarity, and focus on delivering only the most meaningful and actionable insights.

Put simply, it’s about decluttering the reporting landscape to ensure it's streamlined, relevant, and aligned with business priorities.

It identifies any duplicate or similar reports, removes reports that are too old, combines reports that cover same information into one and also prioritize reports that align with business goals.
