RLS issue: when export data in .xlsx format, it would export all rows. How to deal with this?

Hello,

 

I have created/used row-level security (RLS) with Power BI Desktop to restrict data access for given users at the Power BI Service website.

  • For example, I define Role_1 for the Region_A info, Role_2 for the Region_B info. This works fine on the Power BI Service website: the Role_1 users only see Region_A info; the Role_2 users only see Region_B info.

 

When I export data within Power BI Desk using view as Role_X, it will export data in csv format (only this option) and the RLS rule will be applied.

 

When I export data within Power BI Service using view as Role_X, the RLS rule will be applied if exporting data in csv format; but it will export all rows if exporting data in xlsx format, for example

  • At the website of Power BI Service, when I test as Role_1 for the Region_A info and export data in csv format, the result csv file only contains Region_A info.
  • At the website of Power BI Service, when I test as Role_1 for the Region_A info and export data in xlsx format, the result xlsx file contains all the info including Region_A and Region_B.

What happens to the xlsx format? Is this a bug? Or is there a workaround (e.g. disable xlsx file format)?

Hi,

 

Try to update your Power BI desktop and Re Publish the report.

@aj1973  could you please give me some detailed info? What kinda of feature I need to use?

Little details but can make a difference:

* What version is your Power bi desktop. Power bi service is always in its last version therfore it is better that the desktop is as well.

* What version is your Excel. Better to have the 2016 or newer.

* How many rows the visual will export for each RLS user.

@Anonymous , Use analyze in excel in place of export: refer: https://radacad.com/say-no-to-export-data-yes-to-analyze-in-excel-power-bi-and-excel-can-talk

 

User should only able to download data they have access in any case
