Power BI dataset refresh with power automate button to allow refresh by another user not working

Hello,

I've created a report in which a user can click on a power automate for power BI button and it activates a  flow that refreshes the dataset. I've published it on powerbi service premium.

When I click on the button it works fine, the dataset is refreshed and the power automate button shows a OK sign (made me so happy 😁! ). But when the user tests it the button shows an error message appears. I've given her access to the PowerBI space premium of the dataset and she can refresh the dataset there. But with the button on the report it does not work.

My questions:

1) Do I have to include her somewere in power automate to allow her to use the flow I created?

2) Once I solve the power automate refresh issue, am I obliged to give her access to the powerBI workspace of PowerBI services where the dataset was published for the refresh to work? She was supposed to be able to refresh and access only this dataset but now she has access to all.

3) Will the button work if I publish the report on a Teams channel?

Thanks for your help!

Hi @AliceFGX ,
1) Yes: You have to share the flow in PA with everyone that shall use it.
2) I'm not aware of any further requirements in that direction
3) I believe so, at least such a limitation is not mentioned in the official documentation here: Create a Power Automate visual for Power BI (preview) - Power BI | Microsoft Learn

@ImkeF Thanks!

1)I shared the powerautomate flow with her and It worked! I added her as user with execution authorisation only (it was hidded at the bottom right of the flow page).

2) I guess I have to create a separate PowerBI workplace and publish there. Then I will create a teams to invite the people I want to see the report and share both the power BI dataset and the power automate flow with this teams.

3)She tested the power automate button on her department's teams channel and it worked !
