Exporting the data with filters applied.

Hi Folks, The requirement is to export the data(40+GB in size) using button. User don't want to see the multiple option we get in the power bi service. In a single click the report has to export the data along with the slicers/filters applied. is it possible? Please help me with this or let me know whether it is possible or not.

Exporting large datasets (like 40+ GB) from Power BI with filters and slicers applied, in a single click, is challenging due to current limitations in Power BI’s export capabilities. Here’s a breakdown of options and considerations:

 

 1. Power BI Service Limitations
- Power BI’s built-in export function (Excel, CSV) has limits, typically allowing data exports only up to 150,000 rows or 1 GB, far below your 40 GB requirement.


When exporting, filters and slicers can generally be applied, but Power BI does not currently support the "one-click" download of such a large volume directly from the service interface without encountering these size limitations.

 

 2. Alternatives for Large-Scale Data Exports
- Paginated Reports (for Power BI Premium): If you have Power BI Premium, consider using Paginated Reports. Paginated Reports are optimized for exporting large datasets and can be embedded into Power BI reports. This may not cover 40 GB at once but allows for much larger exports than standard reports.


-Power Automate: With Power Automate, you can set up a workflow to extract filtered data incrementally. Although it won’t be a single-click process, it can automate the extraction process and save filtered data into storage solutions like SharePoint, OneDrive, or Azure SQL Database.

- DirectQuery Mode on Data Source: If your data source supports DirectQuery, you could set up a direct export from the source database. However, this requires IT support and may involve custom SQL queries or API use.

 

 3. Consider Azure for Data Handling
- For such a large dataset, Power BI and Azure integrations (like Data Lake or Synapse Analytics) offer scalability. Exporting data to an Azure SQL Database or Data Lake with applied filters could allow for more efficient handling and storage.


- Azure Data Factory (ADF) can also be configured to run an automated pipeline, applying necessary filters in the extraction process and exporting data into a storage location that the user can download from.

 4. Custom API Solutions
- Power BI REST API allows extraction with filters, but it has a row limit. A custom solution, possibly via a REST API in combination with Power Automate or Azure Functions, could enable more flexible export options based on filter conditions.

 

5. User Experience Tips
- If the requirement is to avoid multiple options or simplify the export process for end users, consider adding custom buttons that trigger Power Automate flows. These flows can be pre-configured with specific filters and data destinations, giving the appearance of a one-click export.

 

Given the current Power BI capabilities, a 40+ GB single-click export isn't feasible, but the above methods can offer more practical, large-scale export workarounds with some automation. Each approach may require technical assistance for setup, especially if using Azure services or custom APIs.
