Embed Power BI Visuals

Hello everyone,

I have a Power BI dashboard that I have shared with three colleagues. They need to embed visuals from this dashboard into PowerPoint presentations to share with their target audience. However, when the presentations are viewed by others, the embedded visuals do not display correctly.

Is there a way to embed Power BI visuals in PowerPoint so that they are viewable by anyone, without giving them access to the actual Power BI dashboard? I need to be 100% sure that the target audience can't access the dashboard/change filters, so thats why I am approaching it this way.

Any guidance or solutions would be greatly appreciated.

Hi @JohnZiad555 ,

When you use the add in for Power Point there is one option that is to  freeze the information like it's a image

@MFelix Very good point Felix! Only thing is; the whole reason why I embedded it is because I want to see the "live data" i dont want to freeze it like an image. It should be a live doucment if that makes sense. Any advice?

Hi @JohnZiad555 ,

If it's a live document then has stated in the documentation you need to have an user account that can access Power BI, otherwise it won't work.

A Power BI account is used to keep the data secure within the service and users without permissions cannot see and interact with the data if you were abble to overcome that by just using PowerPoint then you get a security breach.

The short answer to your question is no, a user without a Power BI account can't have a PowerPoint report with all the functionalities of the Power BI.

Hi @MFelix,

I think I did not explain well, my bad.

Some context:

Group 'X' has access to a dashboard. They want to share a few visualisations of the dashboard with group 'Y' (Important detail: Group 'Y' is only allowed to see them with the filters set on the visual).

Group 'X' decides to share the visuals by embedding them (live connection) in the PowerPoint. Only there is a problem now; group 'Y' cannot see the content of the embedded image because they do not have access to the dashboard.

It basically comes down to the following question:
- Is there any way that group 'Y' can still see the content of the embedded visuals in the .pptx without us giving them access to the entire dashboard? We want to avoid them using other filters on the dashboard. It's fine that they can see the embedded visuals though.

Please note: everyone has Power BI Pro accounts in this case.
