Dynamic Dashboard

Hey everyone. I work for the finance team of a consulting firm. Every quarter we conduct a survey to see how people are feeling regarding certain subject matter expertise. I was thinking about building a Power BI Dashboard that would take the inputs from people who answer this survey and upload the data to visualization apps on the dashboard. Has anybody done this before and know if it is possible to accomplish this? Let me know.

Hi @etills,

I've done this quite a few times. In my previous company, we used MS Form for our QA process. The QA used the form to answer questions related to item being audited. The answers are automatically logged into an Excel online file which Power BI connects to. The form's output still had to be transformed with Power Query before loading into the model as it wasn't in the best format for reporting.

Yes, you can definitely build a Power BI dashboard to visualize survey data! Here’s a step-by-step guide on how you can accomplish this:

Steps to Create a Power BI Dashboard for Survey Data

  1. Survey Data Collection:

    • Survey Tool: Use a survey tool like Microsoft Forms, Google Forms, SurveyMonkey, or any other tool to collect responses.
    • Export Data: Export the survey results to a format that Power BI can import, such as Excel, CSV, or directly connect if supported.
  2. Import Data into Power BI:

    • Get Data: Open Power BI Desktop and use the “Get Data” option to import your survey data.
    • Data Source: Choose the file format you used (e.g., Excel, CSV) or connect directly if you’re using a survey tool that supports it.
  3. Data Transformation:

    • Power Query: Use Power Query Editor in Power BI to clean and transform your data. You can filter, merge, pivot, or unpivot data as needed.
    • Data Modeling: Create relationships if you have multiple tables (e.g., demographics and responses) and define calculated columns or measures as needed.
  4. Create Visualizations:

    • Charts and Graphs: Use various visuals like bar charts, pie charts, line charts, and heat maps to display survey results.
    • Custom Visuals: Consider using custom visuals for more complex representations (e.g., sentiment analysis).
  5. Design the Dashboard:

    • Layout: Arrange your visuals on the Power BI report canvas to create a user-friendly dashboard.
    • Interactivity: Add slicers or filters to allow users to interact with the data (e.g., filter by department, survey question, or time period).
  6. Publish and Share:

    • Power BI Service: Publish your Power BI report to the Power BI Service.
    • Dashboards: Create a dashboard in the Power BI Service by pinning visuals from your report.
    • Sharing: Share the dashboard with stakeholders or embed it in other applications as needed.
  7. Automate Data Refresh:

    • Schedule Refresh: Set up scheduled refreshes in the Power BI Service to ensure your dashboard always displays the latest survey data.

Example Visuals for Survey Data

  • NPS Score: If you have a Net Promoter Score (NPS) question, visualize it with a gauge or scorecard.
  • Trend Analysis: Show trends over time if you have historical survey data.
  • Sentiment Analysis: Use text analytics to show sentiment or common themes in open-ended responses.

Tips

  • Consistent Data Format: Ensure your survey data is consistently formatted for easier analysis.
  • User Feedback: Get feedback from users of the dashboard to make iterative improvements.
  • Data Privacy: Be mindful of data privacy, especially if handling sensitive or personally identifiable information.

This approach will help you create a dynamic and informative Power BI dashboard to effectively visualize and analyze your survey data. If you have any specific questions or need help with certain aspects, feel free to ask!
