Account Switch

So I have a power bi account under bob@bobscompany.com.  This has my premium account info, all of my dashboards, etc.  If I change that account to be john@bobscompany.com, would everything just stay the same?  I would think that I need to login in to everything with new credentials, but other than that, does anything change?  Is that even possible?

Changing the email address associated with your Power BI account from bob@bobscompany.com to john@bobscompany.com can be done, but there are some important considerations to keep in mind:

1. Account Management:

  • Same Azure AD Tenant: If your organization uses Azure Active Directory (Azure AD) and both bob@bobscompany.com and john@bobscompany.com are within the same Azure AD tenant, you can generally update the primary email address for the account. This would typically be done by your IT or admin team, and all associated data, licenses, and permissions should remain intact since the user identity (User Principal Name, UPN) remains the same behind the scenes.
  • New Account vs. Email Alias: If john@bobscompany.com is treated as a new account and not an alias of bob@bobscompany.com, you would be creating a new account, and your existing dashboards, reports, and settings would not automatically carry over. You would need to manually transfer content.

2. Implications of Changing the Account:

  • Dashboard and Report Ownership: If the email is simply updated within the same Azure AD account, ownership of dashboards, reports, datasets, and workspaces should remain with the account, as these are tied to the Azure AD identity, not just the email address.
  • Login Credentials: You would need to log in with the new credentials (john@bobscompany.com). However, all your Power BI content (dashboards, reports, dataflows) should remain accessible under this new login if the account itself hasn’t changed, only the email address has.
  • Licenses: If you have a Power BI Premium Per User (PPU) license or other licenses, these would continue to apply to your account if the identity hasn’t changed.

3. Possible Issues:

  • Email Notifications: Any scheduled email subscriptions or notifications sent to bob@bobscompany.com would need to be updated to john@bobscompany.com.
  • App Permissions: If your Power BI reports are shared with others, they might see john@bobscompany.com as the owner instead of bob@bobscompany.com. In some cases, they may need to reaccept sharing invitations.
  • API and Data Source Connections: If your Power BI setup involves API keys, data source credentials, or other external integrations, these may need to be reconfigured depending on how they are tied to your account.

4. Best Practices:

  • Backup Content: Before making changes, it’s advisable to back up important content by downloading .pbix files or exporting dataflows, just in case something goes wrong during the transition.
  • Consult with IT: Work closely with your IT department to ensure that the email change is handled smoothly, especially regarding the maintenance of permissions and access rights.

Hi @randyrettig,
If you want a simple username change, you can set up an alias or change your username in Microsoft 365 admin, in which case you can just access it with your new login details, and normally all your permissions will be unaffected.

However, in the case of a newly created brand new account, the administrator can reassign the licence points to the new account, but the data content remains in the old account, which requires the administrator to reassign the content within the old account to the new account
