Migrating workspace from Trial capacity to Fabric capacity with free license

I have a workspace that I created using the Trial capacity. I want to move it to my organization's Fabric capacity of which I am an admin. However, the option is greyed out:

The license is still the Free license which doesn't support workspaces. Is this why I can't move it? If so, how do I move these items? If I cannot move them, how do I stop using the trial capacity and start using the paid one so that my items persist?

Yes, the reason you can't move your workspace is because the Free license doesn't support workspaces. To move your workspace from the trial capacity to your organization's Fabric capacity, you'll need to upgrade to a paid license.

Please consider below steps on how to do it:

1. Go to the Azure portal and purchase a Fabric capacity. Ensure that the capacity is in the same region as your trial workspace.
2. Log in to Power BI and access the Admin Portal by clicking on the gear icon in the upper-right corner. Select "Capacity Settings" and find the trial capacity details. Go to each workspace you want to preserve and navigate to the Workspace Settings. Under "License Type," switch from the trial capacity to the paid Fabric capacity.
3. Once the paid capacity is assigned, you should be able to move your workspace. Go to the workspace settings and select the option to move the workspace to the new capacity.
4. After moving the workspace, verify that all items and data are intact and accessible

Hi,

I have located the settings you described, however I am not seeing an option to move the workspace. The only Action I am able to take is to remove the workspace.

Does my administrator have the ability to move the workspace?

Hi @elbent , thank you for reaching out to the Microsoft Fabric Community Forum.

If the Organisation has a paid license, then yes, administrator should have the ability to move the workspace. They can do it by navigating to the Power BI Admin Portal -> Capacity Settings, where they can view and manage the existing capacities. They can assign the specific workspace to the desired Fabric capacity.

I figured it out. I had to go to the capacity to which I wanted to move the workspace and add it there, rather than go to the capacity it was in before.

Hi @elbent ,

1st point is workspace creation for fabric free trial is supported for users if the tenant setting has the below 2 setting enabled.

For creating workspace by developer

https://learn.microsoft.com/en-us/fabric/admin/portal-workspace

For enabling users to create fabric items

https://learn.microsoft.com/en-us/fabric/admin/fabric-switch

If these 2 permissions are provided, you can do all Data Engineering, warehouse, reporting etc etc with MS Fabric free trial.

Most of the scenario, workspace creation is disabled for end user to avoid cluttered workspaces, so in that case, request your admin to create a workspace and provide you admin access to that workspace. You can do all MS Fabric activities in that workspace with free trial.

Hi, thanks for your reply. I hope to use the free trial as long as I can. Beyong that, I am trying to understand the Fabric licensing structure. My primary use of Fabric is the Data Engineering features. These features require a workspace. It appears to me that I need a Power BI license to utilize a workspace: https://learn.microsoft.com/en-us/fabric/enterprise/licenses

Is this accurate? We already have a paid Fabric capacity (F2).

Hi @elbent ,

No, whether you are using F2 capacity or Fabric Free Trial, workspace can be created if the tenant setting has enabled workspace creation for a everyone or a specific security group. Or else you can ask the fabric administrator who manages the tenant to create a workspace and assign the trial or f2 capacity to that workspace. And admin should also enable tenant setting to allow user to create fabric item.

Specifically if its only for DE, you don't need power bi license unnecessarily. You can very well work with F2 capacity except dataflow gen 2. For using dataflow gen 2, you would need pro License with F2 capacity. Data factory, Notebook will run fine without pro license.

If you are using free trial, then it is equivalent to Premium F64 sku. And power bi report building, dataflow gen 2 is included in free trial without purchase of pro license.

Okay, so I don't need a Power BI license? What does this mean then?

If using Ms Fabric Free trial, you don't need power bi pro license at all.

If using F2 capacity, and you are not building power bi report and not using dataflow gen 2 for data engineering, then pro license not required.

Okay, got it. Then what do I need to do to make sure my workspace does not get deleted if the free trial ends? How do I move it over to the Fabric capacity?
