Cannot schedule refresh or data source settings

The Refresh Schedule is greyed out for me after the last refresh failed due to invalid credentails. Even the data source credentials is greyed out. How do I fix the creds issue and re-enable the refresh schedule? I have tried republishing the power bi report and dataset with no luck and I am the  semantic owner.

    When the refresh schedule and credentials are greyed out, it usually means the dataset has been disabled after failed refresh attempts with invalid credentials. Power BI won’t let you re‑enable the schedule until the credentials are fixed in the right place.

     

    A few things to check:

    • Refresh history: Look at the dataset’s refresh history to confirm the exact error. If it says “invalid credentials,” that’s the root cause.

    • Gateway vs. cloud source: If your dataset uses an on‑premises gateway, the credentials are managed in the gateway configuration, not in the service. In that case, you’ll need to update them in the gateway itself. If it’s a cloud source, you can re‑enter them in Power BI Desktop under Data Source Settings and then republish.

    • Republishing alone won’t fix it if the gateway credentials are invalid. The service will still block scheduled refresh until the gateway admin updates them.

    • Re‑enable schedule: Once valid credentials are in place, go back to the dataset settings → Refresh → Schedule refresh, and toggle it back on. Power BI disables scheduled refresh after multiple failures, but it will unlock once the credential issue is resolved.

     

    So in short: check whether your source is cloud or gateway‑based, re‑enter the credentials in the right place, republish if needed, and then the refresh schedule option should become available again.

    I wouldn't assume the failed refresh itself is what is disabling these options. If both Schedule refresh and Data source credentials are greyed out, I'd first check how the semantic model is connected.

     

    In particular:

    • If it's using an On-premises Data Gateway, check Settings → Manage connections and gateways and verify that the data source is mapped to the gateway and that the gateway credentials are valid. Being the semantic model owner doesn't necessarily give you control over the gateway connection.
    • If it's a cloud connection, check whether the semantic model is using a shared/cloud connection rather than credentials stored directly on the semantic model.
    • Also confirm that the model is actually Import mode. Schedule refresh won't be available in the same way for DirectQuery/Direct Lake scenarios.

     

    Republish alone won't necessarily resolve this if the underlying gateway or shared connection is the issue.

     

    If you can share the data source type and whether you're using a gateway, we can narrow down why those two settings are greyed out.

    Thanks, I used the 'Schedule Refresh' option next to the semantic model and it opened up the settings, they are no longer greyed out.
