Workspace with dedicated capacity Setting Off

Can I share the reports published in workspace with dedicated capacity setting off with users who does not have a pro license?

  • Not to my knowledge.  Sharing to free users is a Premium feature, which grants you dedicated capacities.  

     

    Also, beaware that non premium / non dedicated capacities puts your content into a shared pool.  Though I dont know the technical details on how, I do believe its possibly for anyone to access your content.  Even if you have a dedicated capacity, be aware that users personal workspaces leverage the shared pool, not your capacity.  However, it is possible to back personal workspaces by a dedicated capacity.

    If you have pro license, you can share reports directly to anyone. But only reports in dedicated capacity workspace could be opened by user just owning free license. 

     

    You could try other methods:

    You have these options to share the report with non-licensed/free license users:

    • Buy Premium
    • Deploy the reports to Power BI Reporting Server on-premise or use other reporting engine (e.g. SSRS)
    • Send them the .pbix files directly (e.g. by e-mail)
    • Export the report to file (e.g. PowerPoint) and share it
    • Use Publish to web - keep in mind that this makes them public and anyone with this link can see them (also there are some limitations, e.g. you can't do this for reports with RLS)
    • Embed within your application using app owns data scenario (see: Embed Power BI content into an application for your customers)
    • And of course, buy Power BI Pro licenses for your colleagues
