What permissions are required to Export to Excel in the Service

We have published reports where some users need to export to Excel - both the data with current layout and underlying data.

However we also have users where we want to restrict that ability - is that possible?

Also - is it possible as an admin to "impersonate" a user to test you got it right?

This article seems to suggest that you need Build Permission for the dataset in order to Export to Excel - but I am not sure that is addressing my scenario

Build permission for shared datasets - Power BI | Microsoft Learn

Hi @mikecrobp ,
You need to have build permission for the dataset before you can export data from a visual of that dataset
Thanks,

Hi @mikecrobp ,

1. You could assign specific user with view permission to restrict export underly data to excel.

2. There in no way that an admin to "impersonate" a user to test, need login in different Power BI account in Power BI Service Portal to test it.

Hi @mikecrobp ,

If you do have permissions to the data, you can see, and export the data that Power BI uses to create a visualization. You needs to do these steps to enable export :-

  1. Start in Power BI Desktop.

  2. From the upper left corner, select File > Options and Settings > Options.

  3. Under CURRENT FILE, select Report settings.

  4. Make your selection from the Export data section. ("

    • Allow end users to export summarized data from the Power BI service or Power BI Report Server")

You can also update this setting in the Power BI service.

It's important to note that if the Power BI admin portal settings conflict with the report settings for export data, the admin settings will override the export data settings.

Sorry (and thank you) - I should have been more explicit. I have enabled "export urrent layout and underlying data"

What I want to do now is make it so that some users (ie with some permissions) can export but others cannot
