Use Copilot to summarize

Hi - Is it possible to send the executive Summary of the report to the leadership team based on their roles through Copilot in Power BI?

What is the best way to handle this?

Yes, this is possible but not directly from Copilot alone.

Copilot in Microsoft Power BI can generate executive summaries and narrative insights from a report, but it does not natively support automatically sending role-based summaries to different leadership groups.

To achieve this, the recommended approach is:

  1. Implement Row-Level Security (RLS) in your dataset.

  2. Use Power Automate to:

    • Trigger on a schedule

    • Query the dataset per role (RLS enforced)

    • Generate a summary (via Copilot / AI capability in Fabric)

    • Send the executive summary to the appropriate leadership distribution list.

This provides:

  • Role-based personalization

  • Automation

  • Governance and audit control

If you only need filtered report views (without AI-generated narrative), you can configure Power BI subscriptions with RLS applied.

For more formal executive packs, consider paginated reports via Power BI Report Builder, parameterized by role and scheduled for email delivery.

So in summary:
Copilot can generate the executive summary, but distribution by role requires combining Power BI with RLS and Power Automate.

Copilot can generate report summaries within the Power BI Service, but distribution still needs to be handled through existing sharing or automation mechanisms.

 

The best approach depends on your goal.

 

If you want role-based executive summaries (for example, Finance leaders see Finance insights, Sales leaders see Sales insights), the recommended architecture is:

  1. Implement proper Row-Level Security (RLS) in your semantic model based on user roles.
  2. Publish the report to a workspace in Power BI Service.
  3. Use Copilot to generate summaries inside the report experience.
  4. Distribute via:
    • Subscriptions (email snapshots),
    • Power Automate flows,
    • Or embedded apps (like Teams).

For automated distribution of summaries, the more scalable solution is:

  • Create a dedicated “Executive Summary” report page.
  • Ensure RLS filters data by role.
  • Use Power Automate to:
    • Export the report page (PDF or PPT),
    • Send it via email to the correct leadership group.

Currently, Copilot does not dynamically generate and email different summaries per role automatically. It assists users interactively inside the Power BI experience. For fully automated executive reporting, combining RLS + Subscriptions or Power Automate is the most reliable enterprise approach.

As per our understanding, you would like to automatically send an Executive Summary of a Power BI report to leadership members based on their roles using Co-pilot.

Currently, Co-pilot in Power BI does not support automated, role-based distribution of summaries. Co-pilot is designed for interactive insights within reports, not scheduled or role-driven email delivery.

Recommended Approach – Power Automate + RLS

  1. Implement Row-Level Security (RLS) in the report to control what each leadership role sees.
  2. Create a dedicated Executive Summary page with high-level KPIs.
  3. Use Power Automate to:
