Salesforce Auto-Refresh Issues
Hi, shanerolle
I'd like to suggest you refer the following requirements and considerarions about Salesforce connector.
-
Connected with a production Salesforce account that has API access enabled
-
Permission granted to the Power BI app during sign in
-
The account has sufficient API calls available to pull and refresh the data
-
A valid authentication token is required for refresh. Salesforce has a limit of five authentication tokens per application so make sure you've five or less Salesforce data sets imported.
-
The Salesforce Reports API has a restriction that supports up to 2,000 rows of data.
For further information, please refer the document .
Best Regards
Allan

Hi shanerolle,
For your "invalid token" error specifically when Desktop works but Service doesn't, the usual cause is the Salesforce Connected App's Refresh Token Policy - if it's set to "immediately expire", interactive (Desktop) auth works but server-side refresh in Service breaks. The fix is on the Salesforce side: Setup → App Manager → Power BI (Connected App) → Manage → Edit Policies → Refresh Token Policy → "Refresh token is valid until revoked".
Also responding to the other user in this thread who asked about SF Professional Edition: yes, that's correct - Professional Edition doesn't include API access by default. No third-party connector can refresh against a Professional Edition org without the API Access add-on ($25/user/month) or upgrading to Enterprise Edition. This is a hard Salesforce-side architectural limit, not a Power BI bug.
If you're on a full Edition with API access and still hitting recurring refresh quirks, Power BI Connector for Salesforce on AppExchange is one alternative:
Why it might fit:
- No 2,000-row limit - pulls full Salesforce reports as-is, columns and all
- Keeps your existing Salesforce report structure (no need to rebuild from raw objects)
- Supports custom fields, custom objects, and joined reports
- Runs through its own Connected App with admin-controlled OAuth policy, so scheduled refresh stays predictable
- 30-day free trial, no credit card needed

- Responsive support if you get stuck: https://metricasoftware.com/docs/salesforce/contact-support/
Happy to set up a quick demo, just reach out via the support link.
