Online monitoring for reports with personalized metrics

Hello there,

I use usage metrics in default but I am in different need.

I want to create alarms or identifications for reports if they are working properly or not, automatically.

For example is it possible to create a special metric for report(for example rowcount should be greater than 0, volume should be greater than 0, etc.) and refresh it automatically and send alert/email/message when these requirements don't meet.

I have lots of reports in organization and maintaining them one by one is really time consuming. 

Is there any best practices or methods do you use?

Do you have any suggestions?

Good question on managing multiple alerts in reports. It actually boils down to number of datasets you have/you are worried about.

There are couple of approaches to tackle this:

1. For each dataset you can create a "Quality Metrics" Report. Put the quality metrics (rowcount, volume etc.) in a table with conditional formatting. Format cells in red if value =0 else green. Subscribe to these reports so you receive emails when data refreshes. You will see some of your cells red if any of the metrics are violated.

2. Another approach is to pin these quality metrics to a dashboard and then set alerts in the dashboard. The only caveat is you will receive emails for every alerts (set for every singly quality metric). You may be able to manage these multiple alerts using Power Automate and push to a database. You can then run another Power Automate every 1 hour to pickup these alerts and send you a  consolidated email. You need to check how to do this.

For the specific reports, you could reference the blog: Usage Metrics or Do It Yourself Power BI Monitoring Report  to have a try. And you could take a look at the document:Data alerts in the Power BI service  to set alerts for the card visuals.

For now, there is not a good idea to implement for lots of reports at a time. We only can create and set alerts one by one.
