How to find personal data in reports?

Hi,

is there a way to query if there is personal data in reports?

Personal data such as name + mobile number or bank account number or social number,

if there is a function to query all data at once, please let me know.

Also, I am curious if there is a way in PowerBI Report Server as well as PowerBI Service.

Regards,

Hi @talantir

I don't believe there is a way to do this in Report Server.

In the Power BI Service/Fabric, this is possible if the data is tagged with sensitivity labels I think. If the data is tagged, you should be able to use the scanner API to identify it.

Hi @talantir ,

  • Below mentioned article will help to classify and enable tagging sensitive data within Power BI reports.
    Link 1 :https://learn.microsoft.com/en-us/fabric/enterprise/powerbi/service-security-sensitivity-label-overv...
  • Sensitivity labels are part of Microsoft Information Protection (MIP). They let organizations classify and protect reports, and dashboards that \have sensitive or personal data — such as patient information
    or PII (Personally Identifiable Information).
  • You can apply labels like “Confidential”, “Sensitive”, or “Highly Confidential – Personal Data” directly inside Power BI (Desktop or Service).
  • This helps  control how the data is shared, exported, or downloaded — for example, preventing users from exporting to Excel or copying visuals if the report is labeled confidential.
  • The labels travel with the data when it’s exported to Excel or PDF, ensuring consistent protection across Microsoft 365.
    Link 2:  https://learn.microsoft.com/en-us/fabric/enterprise/powerbi/service-security-enable-data-sensitivity...
  • Admins must enable sensitivity labels in the Microsoft Fabric / Power BI Admin Portal before users can use them.
  • You can sync existing labels from Microsoft Purview or Microsoft 365 Compliance Center so that the same classification scheme applies across Power BI, Outlook, Teams, SharePoint, etc.
  • Once enabled, users can see a “Sensitivity” dropdown in Power BI Desktop and Service to apply the appropriate label.
