External users exporting underyling data through an app
Hi,
I have a bunch of reports in a workspace. All have Export Data set in PBIX file before publishing. The reports also have export data set in the report settings online.
All the reports are shared via an app
Users (all Pro) within my organisation are given access to the workspace and through that the app.
Users (all Pro) outside my organisation are given access to this app only
All users within my organisation are able to open the app and chose to export the underlying data. Users outside my organisation do not have the option to export the underlying data. This option is greyed out. Is it possible for users outside my organisation to export the underlying data? And if so what do I need to change to allow this to happen?

helspaul , There is an option in workspace settings you can enable it
- In Power BI online, go to the workspace where the app is published.
- Click on the ellipsis (...) next to the workspace name and select "Workspace settings".
- In the Workspace settings, go to the "Access" tab.
- Scroll down to the "Export data" section.
- By default, the option "Guest users can export data" is set to "Off". Change it to "On" to allow guest users to export data.
- Click "Apply" to save the changes.
If it is still greyed out than it is possible that Power BI adminstrator has applied additional settings

Thanks for the response. I'm a Pro user and admin on the workspace - I created it and uploaded all the content.
When I click on the ellipse I see Workspace Settings and Workspace Access.
Within Workspace Settings I see
- General
- License Info
- Azure Connections
- System Storage
- Git Integration
- OneLake
- Workspace identity
- Network Security
- Power BI > General
- Power BI > Data Connections
- Power BI > Embeded Codes
Within Workspace Access I see the list of users who can access the workspace, and nothing else
I've been through each option and I don't see the export data control you mention. Does that mean I'm missing some controls? My adminstrator isn't that techie and i have to point him to the control I want changing. Where do I instruct him to go to allow this?
