Exporting Qualtrics Survey Result and send as Mail (PowerBI REST API)

Qualtrics is a survey tool which has a lot of features to create custom surveys.  Given below a scenario / solution in which we can create a survey using Qualtrics and share that to anonymous users. Once the users respond the individual responses will be analysed and converted as dashboards using PowerBI and will be shared to the corresponding users via email. 

 Guiding Principles

• Create an anonymous survey to understand the Customer Experience
• The anonymous survey link will be forwarded survey audience
• The survey audience may / may not be the part of the user base.
• The questionnaire consists of complex question types including weighted average
• Create a dashboard based the individual response and display to the respective user.

Solution

The solution has been designed leveraging Qualtrics as a survey system. The requirement is to have analytics and dashboarding based on the responses which could not be achieved with the Qualtrics dashboards, we have included PowerBI for generating the analytics and dashboards. Given below the high-level solution.

The solution flow is as below

• The survey will be created in Qualtrics with alignment with questionnaire requirements.
• The end event of each survey responses will be configured to call an API which is hosted as an app.
• The Survey response end trigger will call the Qualtrics API and get the details to initiate a call to the pre-hosted PowerBI report through the PowerBI REST APIs with required parameters.
• Export the file using the API  https://api.powerbi.com/v1.0/myorg/groups/{groupId}/reports/{reportId}/ExportTo
• Check the Status with the API https://api.powerbi.com/v1.0/myorg/groups/{groupId}/reports/{reportId}/exports/{exportId}
• Download the file with the API https://api.powerbi.com/v1.0/myorg/groups/{groupId}/reports/{reportId}/exports/{exportId}/file
• The PowerBI report will be using the API data source which will connect to the Qualtrics API to get the questionnaire response details and build the dashboard.
• Once the file is downloaded the dashboard as pdf will be shared to the survey responder as email.

The PowerBI REST APIs are supported in both My Workspace and App workspace provided the workspace should reside in Power BI Premium Capacity.
