Creating Power BI Subscription with attaching a pdf version of the full report

Hello all,

I am trying to create a Subscription from Power BI service to attach a report and send it to users on a daily basis. I picked the pdf option for the report attached and tested the subscription. Email was received but just the first page of the report was attached. I was expecting the entire report to be available as a pdf attachment. How do I accomplish getting the entire report emailed to users, not just the first page or the screenshot of the first page?

Thanks

NvalPBI

Hi @nvalPBI ,

Thanks for the reply from @GilbertQ , please allow me to provide another insight:

The email for this subscription contains snapshots and links to reports or dashboards, or full attachments to reports or dashboards. You can select PDF in the Attach Full Report option.

The full report attachment feature is available for reports that meet the following four conditions. Any existing subscriptions with full reports as attachments that don't meet these conditions are disabled and you receive an email explaining the error.

  • They're in an upgraded workspace with Power BI Premium or Premium Per User.
  • The report has fewer than 20 pages.
  • The attachment file is under 25 MB in size.
  • You aren't an owner of the report.

Therefore, please check if you fulfil the above conditions. More details can be found in the documentation:

Additionally, you should be able to pin the entire report page to the dashboard and then do this for each report page. This means that your multiple report pages will exist in the same dashboard. Then, subscribe to the email from the dashboard instead of subscribing to the email from the report. The user should then receive an email with multiple pages.

If your Current Period does not refer to this, please clarify in a follow-up reply.

Best Regards,

Clara Gong

Hi @nvalPBI

The full report attachment feature has all the limitations of licensing and throughput noted by @Anonymous in her response.

If you are on a Pro license and open to using third-party solutions, see BI Helper https://bihelper.tech, an easy to use SaaS application that automates the generation and emailing of user-specific PDFs (with filters and slicers applied). It is secure, scalable and reliable.

It doesn't require Power Automate or any other tools, and can be easily set up and run by a business user.

Thank you for your reply. The report table has so many rows and it cannot be displayed in a single page.  Do you knwo if there is an option to automatically extract the data from the report and send it via email in pdf format?

Hi @nvalPBI

Can you make sure that when you are creating the subscription, all the information is in the single page? You can only create a subscription per page as far as I am aware. Email subscriptions for reports and dashboards in the Power BI service - Power BI | Microsoft Learn
